Role Overview
The Operations & Studio Manager is responsible for transforming Bellisima Fiore’s creative vision into structured, organized, and consistently executed operations. This role ensures that projects move from inquiry to installation with clarity, efficiency, and discipline. The position exists to protect the Founder’s creative bandwidth while building a studio that can scale without sacrificing quality, brand integrity, or client experience.
Operational LeadershipThis is not a creative role. It is an operational leadership role. The Operations & Studio Manager serves as the internal engine of the studio, ensuring that timelines are respected, communication is professional, systems are maintained, and execution remains predictable. The goal is to eliminate operational friction so that the creative standard of the brand can remain elevated and sustainable.
Core ResponsibilitiesThe Operations & Studio Manager oversees day-to-day studio operations, internal workflows, production coordination, and administrative systems. This includes managing project timelines from booking through execution, organizing prep days and installation logistics, coordinating staff and freelancers, and ensuring that all deliverables align with approved creative direction.
Additionally, the role manages structured client intake and administrative flow. All inquiries, consultations, scheduling, contracts, invoicing, deposits, and client records are handled through organized systems. Routine client communication flows through this position, allowing the Founder to focus on high-value creative conversations and strategic relationships.
Team coordination is a key function. The Operations & Studio Manager organizes production staff, manages vendor communication, supports sourcing logistics, and ensures the studio remains prepared for execution. Labor is activated based on confirmed demand rather than assumption, preserving both margin and sustainability.
In addition, the role is responsible for maintaining and improving operational systems. Standard operating procedures must be implemented and followed. Capacity limits must be monitored. Bottlenecks must be identified and resolved before they become crises. As Bellisima Fiore grows, this role supports onboarding and role clarity for additional team members.
Decision-Making AuthorityThe Operations & Studio Manager has authority over daily workflow coordination, scheduling, administrative prioritization, production logistics, and team communication. This position enforces intake structure, protects lead times, and ensures that internal standards are maintained.
Creative direction, final design decisions, brand positioning, and high-value client consultations remain under the authority of the Founder and Creative Director. This distinction preserves the brand’s aesthetic integrity.
Role BoundariesThis role does not make final creative decisions, establish brand direction, or independently lead high-value client proposals. The purpose of this position is to build operational strength around the creative core, not to dilute it.
Performance ExpectationsThe success of this role is measured not by volume, but by stability and clarity. The studio should feel organized rather than reactive. Deadlines should be met without last-minute stress. Client communication should be structured and professional. The Founder’s time should increasingly be spent on creative direction and strategic relationships rather than administrative coordination.
Ideal Candidate ProfileThe ideal candidate is highly organized, calm under pressure, and systems-oriented. She must be capable of managing multiple moving parts without becoming overwhelmed. Clear communication, professional presence, and strong time management are essential. Experience in events, hospitality, production environments, or boutique creative studios is strongly preferred.
