ABOUT THE ROLE

The Manager of Individual Giving Operations plays a vital role in supporting the museum's fundraising efforts by managing the Individual Giving Department's core administrative functions, including gift processing, renewal notices, contribution tracking, reporting, and donor stewardship. This position ensures seamless processing, timely acknowledgments, and accurate data management to support an exceptional experience for donors and internal partners. The ideal candidate is a proactive problem-solver with strong communication and interpersonal skills, solid database management knowledge, stewardship best practices, and a commitment to accuracy and confidentiality.

Salary: $58,505.00

WORK SCHEDULE:

Monday - Friday, 9am- 5pm

Must be flexible and willing to work long hours as needed. Weekend work required.

WHAT YOU WILL DO:

Gift Processing and Stewardship (40%)
  • Manage the timely and accurate processing of all donations, including online, mail-in, and in-person gifts for individual giving and major gifts including higher-level membership and events.
  • Generate and distribute timely and personalized gift acknowledgements and tax receipts in accordance with IRS regulations and museum policies.
  • Prepare and manage distribution of endowment reports to individual donors.
  • Coordinate benefit fulfillment to ensure a seamless donor experience.
  • Support development-related communications and events, including newsletter and invitation creation, and RSVP management.
Donor Records Management (CRM) (20%)
  • Maintain the integrity of individual donor records, ensuring accurate data entry, record updates, and list segmentation for targeted communications.
  • Assist with the development and implementation of data entry Moves Management guidelines for prospect management for major donors in collaboration with the database team.
Reporting (20%)
  • Generate standard and customized reports on fundraising progress, donor demographics, giving trends, and campaign performance.
  • Collaborate with Finance to reconcile gifts and ensure consistency in financial reporting.
Prospect Research Support (10%)
  • Assist development with prospect research activities, including identifying potential donors, gathering biographical and philanthropic information, and maintaining prospect records in the database.
Project Support (10%)
  • Assist with special projects and campaigns as needed, providing administrative and logistical support.
WHAT WILL WE EXPECT OF YOU:
  • Strong computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Advanced Excel skills (e.g., data manipulation, formulas, reporting)
  • Tessitura and P2 knowledge is strongly preferred
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong problem-solving skills and a proactive approach to work.
  • Ability to work independently and as part of a team.
  • Excellent organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines effectively.
Education and Experience
  • Bachelor's degree in related field required.
  • A minimum of 3-5 years of experience in development operations, database management, or a related administrative role, preferably in a non-profit or cultural institution.
