Front Desk Coordinator

Our client is seeking a polished and professional Front Desk Coordinator to join their luxury med spa in Sandy Springs. This is an exciting opportunity for a highly organized and personable individual to be the first impression of a high-end aesthetic practice. What You Will Do
  • Greet and check in clients, setting the tone for a five-star experience from arrival to departure.
  • Manage phone lines, emails, and text inquiries with prompt, polished communication.
  • Coordinate appointment scheduling to maximize provider productivity, including confirmations and rebookings.
  • Process payments accurately and manage POS systems with daily reconciliation.
  • Present and explain memberships, packages, and retail offerings to clients; support monthly sales goals.
  • Maintain a clean, organized, and brand-aligned reception area.
  • Assist with client intake forms, consent paperwork, and treatment flow coordination.
  • Support promotional events and light social media tasks (e.g., capturing client moments with consent).
  • Uphold HIPAA compliance and follow clinic policies and procedures.
What You Bring to the Table
  • Minimum of 1–2 years of front desk or administrative experience in a med spa, dermatology, plastic surgery, or luxury hospitality setting.
  • Excellent communication skills—verbal, written, and over the phone.
  • Highly organized with the ability to multitask in a busy, detail-oriented environment.
  • Professional demeanor with a warm, client-centered presence.
  • Comfortable discussing services, memberships, and retail offerings to support sales initiatives.
  • Proficiency with EMR and POS software (Aesthetic Record or similar).
  • Availability to work some Saturdays and occasional evenings.
  • Reliable transportation and punctuality are essential.
