Role Summary
The Fleet Maintenance Coordinator (FMC) serves as the primary tactical liaison between the Fleet Maintenance, Materials, and Operations departments. The central objective of this role is to optimize vehicle uptime by streamlining communication, managing repair workflows, and overseeing the end-to-end "bring up" process for new vehicles. Based on-site at the depot, the FMC ensures continuous operational readiness and provides critical support to the Fleet Maintenance Manager by managing day-to-day vendor relationships and technical throughput.
Out-of-Service(OOS) Management & Reporting
- Maintain rigorous, real-time documentation of all OOS assets, tracking status from initial breakdown through to final return-to-service (RTS).
- Analyze and report on anticipated RTS dates to leadership, ensuring transparency across departments.
- Identify and mitigate roadblocks in the repair pipeline to minimize Mean Time to Repair (MTTR).
- Collaborate with maintenance technicians to prioritize work orders based on operational demand.
- Monitor repair progress to ensure adherence to established timelines and quality standards.
- Manage external vendor relationships, proactively engaging with body shops and third-party providers to maintain a diverse and responsive service network.
- Own the end-to-end "New Vehicle Bring Up" process, transitioning assets from delivery to active deployment.
- Undergo specialized training to perform vehicle calibrations, directly reducing the workload on the Operations team.
- Act as the single point of contact for new vehicle status, providing progress updates to relevant stakeholders.
- Partner with Materials Coordinators to verify parts availability and inventory levels.
- Ensure technicians are equipped with all required components prior to scheduled maintenance to prevent idle time.
- Assist the Fleet Maintenance Manager with administrative functions, including data entry, scheduling, and strategy implementation.
- Experience: Proven experience in fleet maintenance operations, logistics, or a related technical coordination role.
- Technical Proficiency: Strong knowledge of vehicle components, inventory management practices, and fleet management software (FMS).
- Communication: Exceptional interpersonal skills with the ability to bridge communication gaps between technical staff and operational leadership.
- Operational Agility: Ability to operate effectively in a high-volume, fast-paced depot environment.
