We are seeking a highly organized and proactive Logistics Coordinator to manage daily transportation operations across two company locations. This role is responsible for coordinating and dispatching company-owned fleet vehicles and third-party carriers, ensuring the efficient, timely, and cost-effective movement of goods.

The ideal candidate will excel in a fast-paced environment, balancing multiple priorities while maintaining exceptional communication with drivers, customers, vendors, and internal teams. This position plays a critical role in supporting production schedules, customer service objectives, and overall operational efficiency.

Key Responsibilities:

Dispatching & Scheduling
  • Schedule and dispatch company drivers and third-party carriers based on production requirements, delivery deadlines, and customer needs.
  • Maintain daily dispatch schedules, trip assignments, and route plans for multiple locations.
  • Monitor transportation activities and make real-time adjustments to accommodate schedule changes, delays, and urgent requests.
  • Serve as the primary point of contact for company drivers, providing instructions, updates, and problem‑solving support throughout the day.
  • Coordinate with third-party transportation providers to secure capacity when additional hauling resources are needed.
  • Ensure all shipment details, load assignments, and transportation documents are communicated accurately and efficiently.
Load Planning & Optimization
  • Plan and optimize routes to maximize efficiency, reduce transportation costs, and improve on‑time delivery performance.
  • Consolidate shipments whenever possible to improve equipment utilization.
  • Review order volumes and anticipate transportation requirements to support production and customer commitments.
Tracking & Documentation
  • Track and monitor all shipments from dispatch through delivery, providing accurate status updates.
  • Maintain shipping records, bills of lading (BOLs), delivery confirmations, driver logs, and related transportation documentation.
  • Enter and maintain dispatch information within ERP, TMS, and other internal systems.
Communication & Customer Service
  • Act as the primary transportation liaison for internal departments regarding scheduling, shipment status, and delivery updates.
  • Communicate with customers, vendors, and carriers to coordinate appointments, special requirements, and resolve transportation-related issues.
  • Deliver exceptional customer service through proactive communication and problem resolution.
Compliance & Safety
  • Ensure compliance with DOT regulations, company policies, and transportation safety standards.
  • Monitor driver hours‑of‑service, equipment availability, inspections, and required documentation.
  • Assist with reporting transportation incidents, equipment concerns, and fleet maintenance needs.
  • Identify opportunities to reduce freight costs and improve dispatch efficiency.
  • Collaborate with operations and production teams to streamline transportation workflows between locations.
  • Assist in developing and refining standard operating procedures for dispatch and logistics processes.
  • Perform other related duties as assigned.
Qualifications Required Skills & Abilities
  • Strong knowledge of DOT regulations and commercial transportation practices.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service abilities.
  • Exceptional organizational skills and attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong analytical, problem‑solving, and decision‑making skills.
  • Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word.
  • Experience with dispatching software, Transportation Management Systems (TMS), ERP systems, or related logistics technology.
Education & Experience
  • High school diploma or equivalent required.
  • 2–5 years of experience in dispatching, logistics coordination, transportation operations, or a related field.
  • Experience coordinating both private fleet and third‑party carriers preferred.
Physical Requirements
  • Prolonged periods of sitting and working at a computer.
  • Ability to occasionally lift up to 15 pounds.
