Position Summary
The Operations Coordinator supports the daily operations of Backpack Buddies food distribution center, ensuring efficient inventory management, safe warehouse practices, and timely fulfillment of food orders to community partners. This role is responsible for coordinating the flow of food in and out of the warehouse, maintaining accurate inventory systems, assisting with supervising volunteers, and supporting fleet and facility operations.

EssentialJob Duties and Responsibilities
Warehouse & Inventory Operations – Support the entire loop of food inventory, including but not limited to:
Food In- Coordinate and execute food ordering in partnership with the Director of Operations and the Food Procurement Committee.
- Unloading and placing incoming inventory, inspecting delivered items, and ensuring quality, including making pickups using cargo vehicles.
- Allocate food and fulfill orders made by our Community Buddies, prioritizing the oldest food first to ensure food quality and minimize waste.
- Serve as a point of contact for Community Buddies regarding their orders and making adjustments or corrections as needed.
- Organize food in the warehouse according to guidelines and compliance standards while keeping the facility clean and safe, including moving and storing pallets of food and drinks using a powered forklift and/or pallet jacks and labeling food.
- Maintain our online inventory system to mirror the food we have on the shelves.
- Update internal logs and documentation, and support completion of external compliance documentation.
- Support preparation for and participate in annual inventory audits and compliance visits from relevant partners.
- Follow all Standard Operating Procedures (SOPs) and assist with updating them when things evolve.
- Lead opening and closing procedures for our warehouse.
- Lead volunteer groups in warehouse operations, ensuring a safe, organized, and meaningful work environment aligned with the organization’s mission, whether onsite at our facility or offsite at events.
- Support onsite and offsite event operations.
- Maintain the cleanliness of the warehouse.
- Maintain the cleanliness and operation of our vehicle fleet and powered equipment, including box truck, eSprinter van, forklift, electric pallet jack, and other equipment as acquired.
- Collaborate with the Director of Operations to select and manage relevant facility/fleet partners – cleaning services, pest control, truck repair, DOT compliance, etc.
Skills and Abilities
- Strong organizational and multitasking skills.
- Detail-oriented with a focus on safety and accuracy.
- Computer literacy with emphasis on spreadsheets and inventory systems.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced team environment.
- Physical ability to operate a powered forklift, pallet jacks, and other tools and machinery.
- A clean driving record with no at-fault accidents or citations in the last 3 years.
- Clean background check.
- Minimum of 1-2 years in a food pantry or food storage and distribution setting.
- Minimum of 1-2 years of experience with warehouse operations, including inventory management and safety protocols.
- Computer literacy, including Google Workspace, inventory systems, spreadsheets, and other online software.
- Valid Driver’s License and ability to drive cargo vehicles up to 26 ft. box trucks (no CDL required).
- Experience and ability to operate a forklift, and potentially other heavy machinery, are required (certification is required).
- Standard schedule is Monday-Friday, 8:00 AM – 4:00 PM, with occasional evenings/weekends for events.
Physical Requirements
While performing this job, the employee is regularly required to sit and stand for periods, lift 40-50 pounds, climb and descend stairs and ladders, and stock shelves, pack, and move boxes.
Education and/or Experience- High School or GED and a minimum of 1-2 years of experience.
- Warehouse and Food Industry knowledge preferred.
- Certified Forklift Operator.
- $22/hour, full-time, non-exempt.
