Heather Gardens Association is seeking an organized, dependable, and customer-focused
Maintenance Coordinator to support the daily operations of our Maintenance Department.
This is a busy, hands‑on coordination position for someone who enjoys keeping people, projects, schedules, and information moving in the right direction. The Maintenance Coordinator serves as a central point of communication between residents, maintenance personnel, contractors, vendors, management, and other departments.
The position coordinates maintenance work orders, preventive maintenance scheduling, contractor communication, resident support, inspections, documentation, and other departmental activities necessary to keep maintenance operations running efficiently.

What You'll DoAs our Maintenance Coordinator, you will:
- Serve as a primary point of contact for residents regarding maintenance requests, scheduling, questions, and follow-up.
- Coordinate communication between residents, maintenance personnel, contractors, vendors, and management.
- Help coordinate work orders, preventive maintenance schedules, inspections, service interruptions, and maintenance projects.
- Prepare and distribute resident notices regarding repairs, inspections, maintenance activities, and projects.
- Maintain schedules, inspection logs, contact lists, maintenance records, files, and departmental documentation.
- Assist with Architectural Control Committee (ACC) administrative activities, inspections, documentation, and coordination.
- Perform inspections of completed ACC-related projects and document findings or concerns.
- Assist with coordinating maintenance and operational projects, including rekeying, flooring, signage, concrete repairs, window-sill replacement, and related assignments.
- Coordinate with contractors and vendors regarding scheduling, property access, inspections, and service needs.
- Generate purchase orders and maintain vendor-related documentation.
- Perform periodic building, equipment, and operational inspections using established procedures and checklists.
- Identify and report maintenance deficiencies, safety concerns, and repair needs requiring follow-up.
- Provide administrative and operational support to the Maintenance Manager and department leadership.
- Manage multiple assignments, changing priorities, resident requests, and frequent interruptions while maintaining professional and responsive customer service.
- High school diploma or equivalent required.
- Two or more years of experience in maintenance coordination, facilities administration, customer service, operational support, property management, or a related environment preferred.
- Strong organizational skills with excellent attention to detail and follow-through.
- Strong written and verbal communication skills.
- Excellent customer-service and problem-solving skills.
Ability to work independently while supporting a team environment. - Ability to effectively manage multiple priorities, deadlines, interruptions, and service requests.
