WHAT YOU WILL DO:

The Facilities Coordinator provides day-to-day coordination and supervision of facilities operations, maintenance staff, and fleet management for Opportunity Council-owned and managed properties. This position works under the direction of the Assistant Director of Real Estate Operations and is responsible for ensuring buildings, sites, and vehicles are maintained in safe, functional, and compliant condition, with safety and security as top priorities.

The Facilities Coordinator supervises facilities staff, including assigning work, scheduling, coaching, and conducting performance evaluations, and coordinates the work of contractors and vendors in accordance with agency policies and procedures. This role maintains preventative maintenance schedules, prioritizes maintenance and repair activities, and supports inspections, safety drills, and emergency preparedness efforts. The Facilities Coordinator serves as the Facilities representative on the agency Safety Committee and as a primary operational liaison with external safety and emergency response partners.

On occasion, this position may perform hands‑on maintenance tasks in addition to administrative, coordination, and supervisory responsibilities.

WORK SCHEDULE:

Monday through Friday, 8am-4:30pm

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
  • Supervises Facilities staff, including conducting performance evaluations, scheduling work, assigning tasks, and providing coaching and feedback in alignment with agency policies.
  • Responsible for the development and management of preventative maintenance calendars.
  • Ensures all required inspections/maintenance of fire alarm systems, elevator operations, HVAC maintenance, security systems, boiler systems, and any other required inspections are performed in a timely manner and records distributed to proper entities.
  • Develops, implements and monitors daily, weekly and monthly work schedules to ensure all maintenance tasks are completed in a timely manner and to a high standard. Coordinates technician’s daily schedules in Appfolio.
  • Coordinates and administers vendor contracts and service agreements, including monitoring performance and compliance, in accordance with agency procurement procedures.
  • Develops scope of work and cost estimates for major property damages and special projects to assist in managing property budgets and identifying alternative funding sources.
  • Maintains an inventory of regularly needed items to sustain operations at all buildings.
  • Coordinates contractors providing janitorial, grounds keeping, roof/gutter cleaning, pest control and other regular services, and inspects the work to make sure it is being performed to a high standard.
  • Ensures all building floor plans, Operations and Maintenance Manuals, and Capital Needs Assessments are current and accurate.
