About the Role

The Principal’s Secretary performs secretarial and administrative work for the building principal and staff. Duties involve the organization, coordination, and management of the clerical activities and communications of a school office; perform varied and responsible secretarial duties; serve as confidential secretary to the Principal and other school staff; provide specialized assistance and information to students, parents, faculty, and others. Work is performed with independence within established policies and procedures.

Responsibilities
  • Coordinate assigned projects and/or activities to complete activities and/or deliver services in a timely fashion.
  • Foster and maintain a positive and effective working relationship with teachers, administrators, support staff, District staff, parents, students, and the community to adhere to policies, regulations, and administrative procedures.
  • Maintain professional confidentiality in all areas of responsibility for the purpose of adhering to all District policies, regulations, and administrative procedures.
  • Prepare a variety of correspondence, reports, and other materials (ie: letters, memorandums, charts, periodic reports, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
  • Manage phone calls, screen and direct to appropriate person, answer inquiries, follow through on requests, solve non-routine problems, schedule appointments, maintain calendars and filing systems.
  • Provide administrative assistance to the principal, including managing schedules, appointments, and correspondence.
  • Serve as a point of contact for internal and external stakeholders, including staff, students, parents, and visitors.
  • Maintain and organize school records, including staff evaluations, emergency/crisis plans, and confidential documents.
  • Draft and edit letters, reports, memos, and other school-related documents.
  • Assist with budgeting, requisitions/purchase orders, and processing invoices.
  • Coordinate logistics for school events, assemblies, and staff development activities.
  • Support the management and monitoring of student attendance records when needed.
  • Distribute information to staff and students as directed by the principal.
  • Address and resolve administrative issues and inquiries from staff, students, and parents.
  • Support, as directed by the Principal, the planning and implementation of graduation.
  • Perform all other duties as assigned by the Principal.
Qualifications
  • At least five (5) years of successful experience in a related secretarial or office position, preferably in education.
  • Proficient in the use of Microsoft Office software, especially Excel.
Required Skills
  • Demonstrable ability to type with a high level of accuracy and reasonable speed.
  • Modifying existing spreadsheets (adding and sizing columns, formatting headings and cells, sorting and filtering data, VLOOKUP, adding sheets to workbook).
  • Creating a Mail Merge and Creating charts.
  • Performing minor calculations using Auto-sum.
  • Excellent manual and digital organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, visual presentations, and telecommunications for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Efficient, highly organized with demonstrated ability to prioritize and multi-task within a fast-paced environment, while under stringent deadlines.
  • Demonstrated ability to communicate effectively, both orally and in writing, using proper grammar and vocabulary.
  • Excellent interpersonal skills to relate well with students, staff, administration, parents, and the community, including difficult and emotional situations.
  • The ability to work consistently with a growth mindset.
Pay range and compensation package

$44,196/yearly for external candidates. Salary for internal candidates is dependent on experience.  Morton Clerical Salary Rates, Pay, and Fringe Benefits
