The Lead Transaction Specialist is responsible for overseeing transaction file readiness and operational accuracy prior to settlement. This role serves as the first escalation point for the Transactions team, ensuring files are complete, consistent, and prepared for settlement in accordance with documented brokerage and compliance requirements.

This role does not set compliance policy or conduct regulatory enforcement but works closely with the Transactional Compliance team to ensure proper handoff, escalation, and issue resolution.

Key Responsibilities Transaction File Review & Clearance
  • Review and clear transaction files for settlement readiness, ensuring all required documentation is complete, accurate, and timely.
  • Validate brokerage representation, agent eligibility, and required disclosures prior to settlement handoff.
  • Ensure transaction files align with documented brokerage and compliance requirements.
  • Serve as the final Transactions-team approval point before files are released to the Settlement team.
  • Act as the first escalation point for Transaction Analysts and Transaction Specialists.
  • Resolve complex or non-standard transaction issues, documentation gaps, and timeline concerns.
  • Partner with state brokers and Transactional Compliance on higher-risk or unclear matters.
  • Escalate unresolved or high-risk issues to the Transaction Manager as appropriate.
Quality Control & Consistency
  • Conduct quality assurance reviews, spot audits, and trend analysis across transaction files.
  • Identify recurring issues and partner with leadership to implement corrective actions.
  • Ensure consistent application of SOPs, checklists, and transaction standards across states.
  • Support audit readiness by maintaining clear documentation and review trails.
Team Support & Coaching
  • Provide day-to-day guidance and coaching to Transaction Analysts and Specialists.
  • Support onboarding and training of new team members.
  • Reinforce best practices, documentation standards, and escalation protocols.
  • Assist with workload prioritization and coverage as needed.
Compliance & Quality Control
  • Coordinate closely with the Settlement team to ensure clean, complete, and timely handoffs.
  • Partner with Transactional Compliance to clarify requirements and support escalations.
  • Collaborate with Brokerage Operations, Agent Experience, and state brokers to resolve systemic issues.
  • Serve as a knowledgeable point of contact for agents regarding transaction documentation requirements and timelines.
Qualifications
  • 4+ years of experience in real estate brokerage operations, transaction management, or transaction-focused roles.
  • Strong understanding of real estate transaction documentation, brokerage representation, and agent eligibility requirements.
  • Experience reviewing and clearing transaction files in a multi-state brokerage environment.
  • Demonstrated ability to exercise sound judgment and manage escalations.
  • Strong organizational, communication, and problem-solving skills.
Preferred
  • Prior lead, senior, or quality assurance role experience.
  • Familiarity with Sky Slope or similar transaction management platforms.
  • Experience supporting audits or regulatory reviews in partnership with compliance teams.
  • Experience coaching or mentoring peers.
