Position Purpose
The Flight Scheduler serves as the central point of contact for customers and Aviation department personnel regarding all aircraft scheduling requirements. The role involves scheduling and managing all flight-related requests, including passengers, crew, aircraft (corporate/charter), and related services such as catering, rental cars, hotel rooms, and other travel requests. Additionally, the position handles general administration of flight scheduling and reporting software, including data entry, auditing, and report generation.
Responsibilities & Tasks
- Abide by all company standard operating procedures.
- Schedule and manage all flight and related travel requests.
- Communicate with pilots, executive assistants, and support personnel to ensure accurate understanding of the corporate flight schedule.
- Coordinate with various corporate staff to schedule air travel for large group functions requiring the full fleet or additional resources.
- Maintain accurate records for internal audits, accounting, and regulatory compliance.
- Arrange catering, accommodations, and ground transportation as needed.
- Monitor flight and duty time limits for crew and advise the Chief Pilot of potential overages.
- Coordinate aircraft availability with maintenance schedules.
- Notify flight crews, passengers, and assistants of trip changes, delays, or cancellations due to weather or mechanical issues.
- Verify passenger manifests.
- Provide administrative support for the Aviation department.
- Generate and analyze reports from scheduling and reporting systems as requested.
- Utilize company resources effectively.
- This position is on-site in Birmingham, Alabama.
Qualifications
Minimum Qualifications:
- Associate's degree preferred.
- Schedule and dispatch license preferred.
- Knowledge of international operations, including cabotage rules, landing permits, and overflight regulations.
- Understanding of domestic operations, including Federal Aviation Regulations and Fixed Base Operators.
- Familiarity with Standard Industry Fare Level, Encompass Health Aviation Operations Manual, and corporate aircraft tax implications.
