The Facilities Specialist will work cross-functionally with regional operations teams, contractors and national vendors on new and existing repair and maintenance requests and projects. The Facilities Specialist is responsible for executing the process of first-class facility management of a large portion of Mission Pet Health's facilities, reporting and accountability of landlord and tenant responsibilities for repair and maintenance, operation of work order systems, using best practices for cost-reduction methods and coordinating facility repair and maintenance with a team of professionals to keep buildings, equipment, and supplies in good, working order.

KEY RESPONSIBILITIES Role Specific Activities
  • Partner with the Senior Facilities Specialist to oversee local and national partnerships with trade professionals.
  • Own the intake, triage and resolution of repair and maintenance request across assigned facilities portfolio.
  • Responsible for managing facilities operations across a multi-state portfolio.
  • Using industry-leading knowledge, decide, dispatch and hold approved national vendors accountable for repair and maintenance work orders.
  • Establish and enforce vendor performance standards, including response time, quality, and cost benchmarks.
  • Continuously evaluate performance and drive optimization of national and regional vendor network.
  • Delegate and track tasks through an expedient and cost-effective resolution using work order management tools.
  • Manage repair and maintenance spend across assigned portfolio, ensuring cost-effective execution and adhere to budget targets.
  • Own and execute preventative maintenance programs to extend asset life and reduce reactive repair costs.
  • Coordinate and follow through on all opportunities to support hospital leadership within the facilities management process.
  • Interpret lease agreements to determine landlord vs. tenant responsibilities and enforce landlord obligations for repairs and replacements.
  • Coordinate with landlords and property managers to ensure timely execution of required work.
  • Assist or lead special projects as needed.
Responsibilities and Benefits REQUIRED EDUCATION AND EXPERIENCE
  • 3-5 years of facilities management experience in a multi-state environment, healthcare, retail, or similar distributed operations preferred.
  • Experience managing vendors across multiple markets.
  • Knowledge of facilities, system standards, major equipment, and preventive maintenance programs.
  • Capable of building relationships with vendor partners and property management teams.
  • Adept at creating systems and processes.
  • Ability to execute leadership's vision for facility maintenance program.
  • Skilled at problem-solving large-scale issues.
  • Strong organizational and time management skills.
  • Value and respect the importance of professionalism and confidentiality.
  • Familiarity with business systems and productivity tools such as Microsoft Office, Excel, G-Suite & Smart Sheets.
  • Experience with multi-site facility maintenance preferred.
  • Experience with Computerized Maintenance Management Systems (CMMS) software.
  • Strong customer service skills and experience.
