We are seeking a professional, organized, and people-focused Business Office Manager (BOM) to join our leadership team and oversee the day-to-day business office operations of our assisted living community.

Position Summary

The Business Office Manager is responsible for managing the community's day-to-day administrative and business office functions while providing exceptional service to residents, families, employees, and leadership.

The BOM serves as an important point of contact for the community and helps ensure that business processes are accurate, organized, timely, and compliant with company policies.

The ideal candidate is someone who can balance customer service with attention to detail, communicate professionally, maintain confidentiality, and stay organized while managing competing priorities.

Key Responsibilities
  • Oversee daily business office operations

  • Serve as a welcoming and professional point of contact for residents, families, visitors, and employees

  • Maintain accurate resident and administrative records

  • Assist with resident admissions, move-ins, transfers, and discharges

  • Coordinate and maintain resident paperwork and documentation

  • Assist with billing, accounts receivable, collections, and payment processing

  • Follow up on outstanding balances and communicate professionally with residents and responsible parties

  • Process invoices, deposits, receipts, and other financial documentation as assigned

  • Assist with payroll and employee administrative processes

  • Maintain employee files and required documentation

  • Support new-hire onboarding and employment paperwork

  • Maintain confidentiality of resident and employee information

  • Assist leadership with reports, audits, and administrative projects

  • Coordinate correspondence, phone calls, mail, and general office communication

  • Maintain organized electronic and physical filing systems

  • Assist with compliance-related documentation and recordkeeping

  • Work closely with the Executive Director and department leaders

  • Help identify and resolve administrative issues quickly and professionally

  • Provide excellent customer service to residents and their families

  • Perform other administrative duties as needed

What We're Looking For
  • Previous experience in a business office, healthcare, senior living, property management, medical office, or similar administrative environment preferred

  • Strong organizational and time-management skills

  • Excellent written and verbal communication

  • Professional and friendly customer-service approach

  • Strong attention to detail and accuracy

  • Comfortable working with numbers, invoices, billing, and financial records

  • Proficiency with Microsoft Office and standard computer applications

  • Ability to maintain confidentiality and handle sensitive information

  • Ability to prioritize multiple tasks and meet deadlines

  • Reliable, accountable, and willing to take ownership

  • Experience with assisted living, skilled nursing, senior living, or healthcare is a plus

Experience in senior living is a plus, but we are also interested in candidates with strong transferable experience from medical offices, property management, accounting, hospitality, banking, human resources, or other customer-facing administrative roles.
