Under direction of the Facilities Director, the Maintenance Manager manages the day‑to‑day operations of building maintenance activities for facilities in the assigned area. The role involves overseeing daily management of building systems, mechanical, electrical, energy management, and fire/life safety functional areas, as well as assisting housekeeping, grounds, and service departments as needed. The Maintenance Manager develops and administers policies, procedures, and processes in support of departmental operations, responds to inquiries and requests for service from internal university departments, supervises technical trade staff, and coordinates all work orders related to preventive maintenance programs and facility needs.

The position is focused on achieving university goals related to efficient and effective facilities maintenance and operation.

Distinguishing Characteristics

The Maintenance Manager carries out policies and procedures with a focus on building maintenance activities, manages and supervises multi‑function maintenance staff, provides direction, guidance, and mentoring, and assists in directing outside trades for repairs and projects across the university.

Essential Duties and Responsibilities
  • Plans, organizes, maintains, and manages the operations and reliability of university facilities and general infrastructure systems.
  • Monitors preventive maintenance processes and programs and facility inspection processes for ongoing review of maintenance work.
  • Oversees and coordinates the department’s automated work order and preventive maintenance system for facilities management.
  • Works with administrators to develop and modify preventive maintenance programs, including updating preventive maintenance routines based on manufacturer’s maintenance schedules.
  • Leads and participates in technical discussions about the operation of building systems, explaining technical operations to diverse audiences when necessary, including subordinates and higher‑level management.
  • Inspects facilities for needed maintenance work or reviews work orders, complaints, and other requests for services received from faculty, staff, and students.
  • Leads and inspects preventive maintenance work efforts and other work requests in terms of progress and completion.
  • Inspects performed work by service contractors for boiler, HVAC, plumbing, electrical, elevator, and other service contacts.
  • Coordinates the acquisition of supplies and materials to complete maintenance work activities via shop stock, warehouse, storeroom and/or local suppliers.
  • Manages the annual budget for the maintenance department.
  • Prepares purchase orders for maintenance related work to acquire trades and professional assistance.
  • Assists in department capital budget planning in relation to building maintenance capital renewal projects, ensures compliance with university purchasing rules, and performs related activities such as obtaining price quotes and bids.
  • Collaborates with the Project Manager in scheduling and coordinating the work of external construction contractors to ensure terms of agreements are met and work is completed satisfactorily.
  • Participates in various meetings, committees, task forces, and/or other related groups to communicate information regarding services, programs, areas of opportunity, and other pertinent information as appropriate.
  • Responds to emergency situations as required (during regular business hours or after hours).
  • Has the ability to direct housekeeping staff and grounds and service personnel as needed as directed by the Facilities Director.
  • Performs other related duties as assigned.
  • Monitors safety and addresses safety concerns across the university, including correct PPE, ADA, and OSHA regulations.
