We are seeking a Facilities Specialist to serve as a key contributor to our facilities management team. You will coordinate maintenance, manage SAP systems, supervise contractors, and be the trusted liaison between our internal customers and facilities services. EssentialJob Functions & Major Contributions
- Coordinate facility repair and maintenance, frequently involving the supervision of contractors.
- Inspect completed work for quality, compliance with local procedures and documentation for final approval.
- Primary liaison between internal customers and facilities management for unscheduled maintenance and projects, local personnel and equipment relocations, and small projects.
- Coordinate and supervise various contracted maintenance services, including but not limited to mechanical, plumbing and electrical equipment and systems.
- Assess service provider performance at least annually.
- Primary or back‑up SAP Plant Maintenance coordinator: add equipment master records, functional locations, set up maintenance plans and general equipment task lists, generate and track PM and maintenance orders, document order completion, and audit maintenance records and reports to ensure regulatory compliance of the maintenance program.
- Generate CMMS reports based on gathered metrics.
- Assist with delegating repair/service tickets to the Facilities Team.
- Handle invoices for review, approval, payment, and filing; act as the primary liaison with Gen Mark Facilities group, service providers and Accounts Payable.
- Collect and report any customer service‐related issues directly to the Facilities Manager or Director.
- Prepare, tabulate and analyze customer satisfaction surveys related to any or all of the wide array of service provided by the group through Service Now.
- Support O&M technical leads, which may include periodically performing daily rounds and on‑call services.
- Maintain GMP SOPs and non‑GMP Facilities documents; trained to input SOP Change Requests.
- Other tasks delegated by the Manager.
- Education & Experience:
- Bachelor’s Degree in Mechanical Engineering, Industrial Engineering, Electrical Engineering, Business Administration, etc.
- Minimum 2 years working experience with SAP Plant Maintenance Module software and knowledge of Archibus.
- Minimum 4 years’ experience working in a customer service intensive role and /or facilities maintenance planning.
- Exceptional customer service skills.
- Experience working in an ISO and FDA regulated environment.
- Advanced computer skills – e.g., MS Office (Excel, Word, PowerPoint), Google Workspace.
- Preferred:
- Technical/trade school specializing in electrical, plumbing or mechanical systems.
- Thorough expertise using SAP Plant Maintenance Module software, Archibus, and Service Now.
- 6 or more years’ experience working in a relevant Facilities Management and Planning position.

- Expected salary range for this position based on the primary location of California is $66,900 – $124,200 USD annual.
- Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law.
