What You’ll DoWe’re looking for a creative, highly organized and process-oriented Photography Studio Coordinator to join our in‑house creative team in Chicago. This role reports to the Manager of Studio Operations and partners closely with cross‑functional teams including the DAM team, project managers, designers, retouching, marketing and product team members, and external photo vendors.
The Photo Studio Coordinator plays a critical role in supporting end‑to‑end studio operations, on‑location and studio photoshoot production, and asset delivery. This position ensures photography and image content is produced efficiently, delivered on time, and aligned with brand and marketing needs. The ideal candidate has a strong foundation in photography and image production, thrives in a fast‑paced environment, and brings a detail‑oriented, solution‑focused mindset.
This role may evolve over time to include expanded photoshoot production and logistics support as studio and marketing needs grow.
Specific responsibilities include, but are not limited to:
- Support end‑to‑end photoshoot production for both studio and on‑location shoots, including pre‑production planning, scheduling, logistics, shoot‑day coordination, and post‑shoot wrap‑up.
- Assist with the creation and distribution of shot lists, call sheets, production schedules, and related documentation.
- Coordinate with photographers, stylists, freelance crew, and vendors under the direction of the Manager of Studio Operations.
- Provide on‑set production support, helping troubleshoot issues in real time to keep shoots on schedule and aligned with creative objectives.
- Manage administrative aspects of photoshoots, including planning meetings, coordinating catering, location scouting and booking, permits, and related production needs.
- Manage photography and image requests from intake through final delivery, ensuring accuracy, quality, and adherence to timelines.
- Review project briefs, maintain photo schedules, track progress, and communicate status updates with internal and external stakeholders throughout the production lifecycle.
- Support light image preparation and Photoshop tasks as needed, including silhouetting, retouching support, color correction, compositing, resizing, batching, and asset organization.
- Ensure final assets meet brand standards and are delivered DAM‑ready, including proper file naming, metadata, versioning, and usage details.
- Upload, organize, and maintain final assets within established folder structures and partner with the DAM team for asset transfer and lifecycle management.
- Track all photography and retouching requests, maintaining accurate schedules and up‑to‑date project statuses using studio management tools.
- Manage style guides to ensure standards, shot lists and reference library are up to date as changes occur.
