Position Summary
The Accounts Receivable Concierge is a personable, detail-oriented individual who will serve as a proactive, client-facing liaison throughout the billing and collections process. This role is designed to ensure a smooth and positive payment experience for clients while helping maintain healthy cash flow for the company. Unlike traditional collections, this position is rooted in hospitality and relationship management, acting as a friendly, persistent point of contact rather than an enforcer.
The goal is to create a frictionless, respectful and proactive payment experience while maximizing operational efficiency.
Top Priorities
, including credit cards, checks, ACH, or online platforms
- Timely, consistent client payments with minimal friction.
- Positive client feedback regarding the invoicing experience.
- Close collaboration and alignment between finance, sales, and production teams.
- Reduced aging receivables and improved cash flow predictability.
- Proactively check in on active projects to monitor billing timelines and readiness for invoicing.
- Confirm receipt of invoices with clients to ensure clarity and minimize delays.
- Maintain regular, courteous communication with clients to reinforce billing transparency and service continuity.
- Follow up promptly and consistently with clients whose accounts are past due—including making daily contact, when appropriate, until payment is received.
- Collaborate with project and finance teams to maintain alignment on project status and client interactions.
- Log all communication and updates in CRM or AR tracking systems.
- Assist with identifying recurring payment issues and recommending process improvements.

Skills & Experience:
- Strong interpersonal and communication skills with a high level of professionalism.
- Experience in customer service, client relations, or accounts receivable preferred.
- Comfortable making regular outbound calls in a friendly and professional manner.
- Highly organized and able to manage multiple accounts with attention to detail.
- Proficiency with invoicing systems and basic spreadsheet or CRM tools.
- Empathy, persistence, and the ability to balance client rapport with firm follow-through.
