Payroll Specialist

Requirements: ADP Workforce Now & Multi-State Payroll Processing

Payroll Administration

• Process multi-entity payroll using a leading payroll system, ensuring accuracy, timeliness, and full compliance
• Review and validate timekeeping data, earnings, deductions, benefits, and payroll adjustments prior to submission
• Maintain payroll records and support employee onboarding and offboarding activities related to payroll
• Reconcile payroll sub-ledgers to the general ledger across all entities
• Prepare and post payroll-related journal entries
• Investigate and resolve payroll discrepancies in partnership with Finance and Accounting teams

Tax & Compliance

• Remit federal, state, and local payroll taxes accurately and on schedule
• Prepare and submit required government filings and ensure compliance with all regulatory agencies
• Maintain compliance with payroll laws, tax regulations, and internal policies
• Support payroll setup and registration in new states, as needed

Reporting

• Prepare and distribute monthly, quarterly, and year-end payroll reports, including W-2s and related filings
• Complete annual W-2 reconciliations to support tax work papers
• Generate customized payroll reports for Finance, HR, and leadership

Systems & Process Improvement

• Optimize payroll system functionality to improve efficiency, accuracy, and internal controls
• Identify and implement process improvements that enhance payroll operations
• Administer expense reimbursement processing through a corporate expense management platform

Audit & Special Projects

• Support internal and external audits related to payroll
• Assist with special projects and ad hoc initiatives as needed
