Project Accountant

Schema Group is a licensed general contractor specializing in hotel renovations nationwide. We partner with leading hospitality brands and boutique hotels to deliver high-quality, schedule-driven renovation projects. Our work is fast-paced, detail-oriented, and highly collaborative.

We are seeking an experienced Project Accountant to manage all project-level accounting and billing functions, with a strong focus on AIA billing and subcontractor/vendor financial compliance.

The Project Accountant will be responsible for the full billing and payables cycle across multiple hotel renovation projects. This role works closely with Project Managers, Superintendents and reports directly to Brandy Grabinski, the Chief Control Officer to ensure accurate billing, timely payments, and full compliance with contractual and insurance requirements. The ideal candidate has a strong understanding of construction accounting and thrives in a deadline-driven environment.

They must also be flexible and have the ability to work within the billing requirements of each project.

• Prepare, manage, and submit all AIA billing applications, including schedules of values, lien waivers, and supporting documentation
• Track contract values, change orders, retention, and project cost allocations
• Maintain accurate project financials in Procore and Quick Books (QB)

• Review, process, and code all subcontractor invoices
  , vendor bills, and employee expenses
• Verify invoices against contracts, scopes, and approved budgets
• Ensure all required backup documentation is received prior to payment

• Track and manage insurance requirements, including Certificates of Insurance (COIs) for subcontractors and vendors
• Ensure compliance with contract terms, insurance limits, and expiration dates before processing payments

• Prepare complete billing and payables packages for CCO review and approval
• Assist with monthly close activities, job cost reporting, and audit support
• Respond to internal and external billing or payment inquiries

• 3+ years of project accounting experience, construction industry required
• Strong experience with AIA billing (hotel or commercial construction preferred)
• Proficiency in Excel, Procore and Quick Books
• Deep understanding of subcontractor billing, lien waivers, retention, and compliance requirements
• High attention to detail with strong organizational and time-management skills
• Ability to manage multiple projects and deadlines simultaneously

• Salary Range: $70,000 - 80,000
• Base salary based on 40 or more working hours per week
• SEP IRA plan with company contribution

• 10 paid vacation days per employment year. PTO does not accrue or rollover and is not eligible for payout at the end of the year.
• Paid holidays:
  New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Christmas Day.(final holiday schedules will be determined through the year)
• Semi-Annual performance reviews
