Your role as a Accounts Payable Specialist Key responsibilities

Position Overview

The Accounts Payable (AP) Specialist is based in the Chicago office and is a part of the Shared Services Center (SSC). The AP Specialist reports to the SSC Manager and supports the North American accounts payable/receivable activities. The AP Specialist is customer focused, works quickly with little to no errors in a complex environment and operates in a timely fashion. The AP Specialist and the SSC team is a vital part of our efforts to keep business activities current and compliant.

Roles and Responsibilities
  • Manage daily AP inbox by reviewing invoices, routing to proper folders and ensuring the inbox is maintained and cleared out by the end of every day.
  • Accurately record vendor invoices.
  • Vendor setup and maintenance.
  • Collaborating daily with the Accounting team, Manager of Shared Services, Project Managers, and Engineers.
  • Owning Accounts Payable between New Cold and our suppliers and sub‑contractors.
  • Monitor and follow‑up on open Purchase Orders for project reporting.
  • Assist with month‑end close.
  • Assist in various ad‑hoc projects.
  • Drive and push performance in the Accounts Payable process to improve both quality and speed.
  • Provide direction and guidance in proper AP/AR procedures.
  • Ensure activities are completed in a timely manner.
Who we are looking for

Requirements
  • 5+ years of relevant experience in Accounts Payable.
  • Comfort with working in a fast‑paced, complex, transaction‑driven environment.
  • Strong written and verbal communication skills.
  • A quick learner, a self‑starter, able to work independently, and willing (and able) to handle the pressures of an increasing level of responsibility.
  • Can take on multiple projects/tasks and problem solve.
  • Experience coding invoices.
  • Experience with Chart of Accounts.
  • Proficiency with MS office suite.
  • Ability to follow up on pending issues and meet deadlines.
  • Experience working with US and foreign currencies.
  • Experience partnering with stakeholders, preferably on a global level.
  • Detail‑oriented.
  • Ability to complete tasks with little to no errors.
  • Supply chain industry experience is preferred.
Education/Certification
  • Bachelor's degree required.
