Our client is seeking a detail-oriented Accounting Assistant to support daily accounting operations while assisting with general office administration. This role is ideal for someone who enjoys a combination of bookkeeping, financial recordkeeping, and administrative responsibilities in a collaborative, fast-paced environment. The ideal candidate has experience with Quick Books, strong Microsoft Excel skills, and enjoys working with both numbers and people while supporting multiple areas of the business.
ResponsibilitiesAccounting Support
- Enter daily and weekly receipts, deposits, and credit card transactions into Quick Books.
- Prepare client invoices, service agreements, and project billing.
- Process customer payments, bank deposits, and vendor invoices.
- Assist with bank and credit card reconciliations.
- Support month-end and year-end accounting processes.
- Prepare financial reports, billing reports, and budget spreadsheets.
- Review employee timesheets, overtime, and project-related expenses.
- Process employee expense reports and maintain accurate financial records.
- Follow up on outstanding invoices and client agreements.
- Review client proposals and apply pricing models to ensure accurate billing.
- Answer incoming phone calls and respond to customer inquiries.
- Manage incoming and outgoing mail, packages, and shipments.
- Upload invoices, contracts, and project documentation into company databases and CRM systems.
- Assist with project coordination and administrative logistics.
- Create and maintain Microsoft Excel reports and spreadsheets.
- Provide administrative support to multiple departments.
- Perform additional office and administrative duties as assigned.
- Minimum of 2 years of accounting, bookkeeping, or accounting support experience preferred.
- Experience with Quick Books or similar accounting software.
- Strong Microsoft Excel skills, including formulas, spreadsheets, and financial reporting.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Excellent organizational, time management, and multitasking abilities.
- Strong attention to detail with a high level of accuracy.
- Excellent written and verbal communication skills.
- Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred, or an equivalent combination of education and experience.
