The Windfall is partnering with a private‑equity owned natural foods snacks company that is seeking to hire an Executive Assistant. This role will be based in their Chicago office, which is also HQ for the Americas. The assistant will support the CEO and provide additional support to the C‑Suite. The position also assumes the responsibility and post of reception management and will require working in the office Monday‑Friday, 8 hours a day between the hours of 7:00 am–6:00 pm may be dependent on the needs of the day.

Availability via email outside of office hours is required.

Responsibilities
  • Complete a broad variety of administrative tasks for the CEO, including managing an active calendar, completing expense reports, and maintaining confidential executive files and communications.
  • Arrange complex and detailed travel plans, itineraries, and agendas; compile documents for travel‑related meetings.
  • Coordinate and facilitate corporate meetings, both virtually and in person.
  • Coordinate monthly Board meetings, including arranging meals and meeting spaces.
  • Communicate and coordinate with support staff for the U.K.

    -based Board of Directors.
  • Compose company‑wide correspondence, prepare reports, and compile/coordinate professional PowerPoint presentations.
  • Prioritize conflicting needs of the CEO; handle matters expeditiously and proactively, and follow through on projects to successful completion, often under deadline pressure.
  • Act as a champion for reinforcing overall team culture.
  • Partner with and provide support to other C‑suite members and HR with varying tasks, including travel and meal coordination.
  • Serve as reception for the corporate office.
  • Order and maintain office supplies for the Chicago office.
  • Assist with special projects and initiatives that support on-site needs.
Requirements
  • 5+ years of proven experience as an Executive Assistant or in a similar role supporting a CEO or senior‑level management.
  • Excellent organizational, time‑management, and attention‑to‑detail skills.
  • Expert proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Superior verbal and written communication skills.
  • Ability to prioritize tasks and work effectively under pressure.
  • High level of professionalism, discretion, and confidentiality.
  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Highly organized, resourceful, and adaptable individual who can efficiently handle multiple priorities, use sound judgment, and thrive in a fast‑paced, dynamic environment.
