Business Coordinator & Executive Assistant

Full-Time Chicago-based (Remote with occasional in-person meetings)

Salary: $50,000 + Bonus

We’relooking for a Business Coordinator & Executive Assistant who can support both our Founder and our Operations function with precision, professionalism, and reliability.

This is a critical role that keeps the company running smoothly day-to-day. The ideal candidate is organized, steady, proactive, and committed to follow-through. No task is too small, anddetailsmatter.

Role Overview

The Business Coordinator & Executive Assistant provides direct support to the Founder and operational support to the Operations Manager. This role handles scheduling, administrative coordination, CRM updates, billing follow-ups, onboarding, benefits paperwork, internal communication, and simple marketing operations like posting Linked In content and preparing materials for newsletters or events.

You must be based in Chicago.

Responsibilities

Founder Support

  • Manage the Founder’s calendar and schedule all internal and external meetings
  • Handle meeting confirmations, follow-ups, and weekly planning
  • Monitor cc’d emails, route items to the right people, and track follow-ups
  • Keep a running list of tasks, deadlines, and priorities
  • Coordinate travel,logistics, reservations, and prep materials for conferences and in person meetings
  • Assist with Linked Inpostscheduling
  • Organize documents, files, and meeting notes

Operational Support (for Peyton / Operations Manager)

  • Update  with contracts, client contacts, billing status, and project updates
  • Assist with basic billing tasks, including sending invoices and overdue reminders
  • Support contract preparation and ensure signed copies are saved correctly
  • Organize internal documents, shared folders, and company resources
  • Prepare agendas, notes, and summaries for internal meetings

Communications & Light Marketing Support

  • Create andpost Linked Inand Instagramcontent
  • Assist with formatting and assembling monthly newsletters (Ops +Admin+ Founder)
  • Assist with managinginternalmarketing calendar
  • Coordinatelogisticsfor webinars (meeting creation,registration, reminders, follow-ups)
  • Assist with event logistics(tickets,maintainingreceipts, itineraries, vendor communication, marketingpreparation)

What Success Looks Like

  • The Founder’s schedule, follow-ups, and inbox noise are fully under control
  • Operations Manager’s workload is lighter, cleaner, andcentralized
  • CRM data isaccurateand current
  • Social media istimelyand organized
  • Billing and contract tasksare streamlined
  • Founder and team meetings start prepared and end with clear follow-ups
  • Internal communication is organized and clear
  • Small tasksare executed

Qualifications

  • 1–3 years in administrative support, EA work, operations, HR coordination, or similar
  • Exceptional organization and attention to detail
  • Strong writing and communication skills
  • Ability to manage multiple priorities calmly and reliably
  • Comfortable with Microsoft Office, , and basic online tools
  • Experience with CRM, HR, or billing systems is a plus
