The Administrative Assistant supports the Executive staff of Pro Sight including the Managing Director of Membership Services and the Managing Director of Advanced Risk by handling a variety of responsibilities including administrative duties, council and committee project management and cross‑functional coordination for key events and strategic projects. This position manages a heavy and diverse workload.

Executive Administrative Support

Provide high‑level administrative support including but not limited to:

  • Calendar management, meeting coordination, and prioritization
  • Travel planning and expense management
  • Budget tracking and administrative support for executive initiatives
  • Preparing, editing, and refining presentations and executive materials
  • Coordinating internal and external meetings, including leadership and cross‑functional sessions
  • Managing follow‑ups, action items, and deadlines on behalf of executives
Council & Committee Project Management

Provide end‑to‑end administrative and project coordination support for multiple councils, committees, and working groups, including but not limited to:

  • Managing meeting schedules, agendas, and logistics for councils and committees
  • Deploying meeting materials, presentations, and post‑meeting notes/action items
  • Maintaining project plans, timelines, and status reporting for working group initiatives
  • Tracking council member recruitment efforts, terms, and participation status
  • Coordinating communications with council members and internal stakeholders
  • Serving as a central point of coordination to ensure consistency, follow‑through, and documentation across all councils and committees
Event & Project Coordination

Provide support for internal department meetings, in‑person department events, and strategic projects, including but not limited to:

  • Planning and coordinating logistics for quarterly team meetings (scheduling, materials, follow‑ups)
  • Provide reporting and tracking of sales sprints, onboarding activities and enrollment.
  • Maintaining, collecting, and organizing up‑to‑date sales collateral across products
  • Assisting with ad hoc projects that support membership growth, engagement, and operational efficiency
  • Part of the team that provides support for in‑office meetings and events
Qualifications & Skills
  • 3–5+ years of experience in an administrative, executive assistant, or project coordination role
  • Strong project management and organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • High attention to detail and follow‑through
  • Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word); experience with Monday or similar project management tool a plus.
  • Ability to work independently, anticipate needs, and proactively solve problems
  • Comfortable working with senior leadership, volunteers, and cross‑functional teams

The salary range for this position is $55,000 - $65,000. Compensation offered will be determined by factors such as skills, experience, education, job‑related knowledge and market considerations. This role is eligible for an annual incentive plan based on business results and individual performance.
