Job Summary

Under the general supervision of the senior leadership, Administrative Assistant II functions as timekeeper and processes payroll for the Office of the Medical Examiner. Reviews time sheets, work schedules, and requests for time for completeness and accuracy. Maintains records of absenteeism and tardiness to ensure proper docking where appropriate. Provides health insurance and payroll paperwork to new employees at the start of their employment and prepares and completes paperwork for employee’s exit interview.

Maintains confidential personnel records for all employees of the Office of the Medical Examiner, when directed by senior leadership. Performs duties such as typing, filing and answering the telephone.

Minimum Qualifications
  • Possession of a High School Diploma or G.E.D. test certificate.
  • Two (2) years of work experience performing general timekeeping duties is required.
Physical Requirements

Sedentary Work involves exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.

Knowledge, Skills, Abilities, and Other Characteristics
  • Thorough knowledge of the operations, policies, procedures and practices of the Office of the Medical Examiner.
  • Skill in the use and application of basic mathematical skills and calculations relative to office bookkeeping and statistical records.
  • Ability to handle intermediate to advanced timekeeping matters and maintain personnel records in an unbiased and confidential manner.
  • Proficiency in Microsoft Office Suite.
  • Skill in preparing documents and forms.
  • Skill and accuracy in the organization and maintenance of extensive files.
  • Ability to pay attention to variable detail, proof, verify and edit complex data, transcribe and cross reference data from computers and documents.
  • Ability to follow-up in a thorough and timely manner on assignments and unresolved business.
  • Good communication skills: ability to gather information from others and make inquiries.
  • Skill in the operation of standard office equipment.
  • Ability to convey information and explain or describe basic office policy and procedure to others in person or by telephone.
  • Ability to coordinate, multi-task and perform well under pressure; ability to relieve higher-level secretarial or administrative staff.
