About the Role

The Executive Assistant provides high-level administrative and operational support to the CEO and senior leaders, enabling them to focus on strategy, partnerships, and impact. This role is highly operational and behind the scenes, managing complex calendars, coordinating logistics, and maintaining systems that keep the organization running smoothly.

The Executive Assistant builds a strong understanding of leadership priorities, anticipates conflicts, and ensures seamless execution across competing demands. The role includes supporting meetings and events, managing expenses, tracking commitments, and handling day-to-day administrative needs.

This position is well suited for someone who thrives in fast-paced environments, enjoys operational work, and takes pride in being the force that helps leaders operate efficiently.

This is a cross-functional role that interacts with internal teams, external partners, board members, and guests. The work will include:

  • Calendar and scheduling support
    , including managing complex calendars, coordinating large meetings, and prioritizing requests for multiple senior leaders and VPs
  • CRM management and support, including maintaining accurate contact records, updating relationship notes, and tracking interactions
  • Meeting and event coordination, including planning logistics, preparing materials, booking rooms, and supporting on-site and virtual events
  • Office and operations support, such as ordering supplies, managing office needs, and ensuring shared spaces are well organized
  • Guest and visitor management, including coordinating guest access, office entry, badges, and day-of logistics
  • Administrative support, including preparing documents and presentations, and maintaining records
  • Cross-team coordination, serving as a point of contact between senior leaders and internal teams to ensure smooth communication and follow-through
Key Qualifications
  • Experience supporting senior leaders, executives, or Vice Presidents in an administrative or executive assistant capacity
  • Experience using and maintaining CRM systems (e.g., Hub Spot, Airtable, or similar) to support relationship management and reporting
  • Strong organizational and time-management skills with the ability to juggle multiple calendars and priorities
  • Excellent written and verbal communication skills, with a professional and approachable demeanor
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort learning new tools
  • Strong attention to detail and follow-through, especially when managing scheduling, events, logistics, and CRM data accuracy
  • Ability to work independently, anticipate needs, and proactively solve problems
  • Discretion and professionalism when handling sensitive information
  • Comfortable working with a variety of stakeholders, including executives, board members, and external partners
  • Flexible, solutions-oriented team player who thrives in a dynamic environment
