About Our Client:Addison Group is hiring on behalf of our client, a well-established private college located in downtown Chicago. The team is seeking a dependable administrative professional to provide critical support to leadership and faculty within one of its academic departments.
Job Description:Our client is seeking an experienced Administrative Assistant to provide comprehensive support to department leadership and ensure smooth day-to-day operations. This role will serve as a central point of coordination for faculty, staff, and students while assisting with scheduling, communications, documentation, and event logistics.
The position is fully on-site and requires flexibility to work between two buildings located within close walking distance of each other.
Key Responsibilities:- Provide daily administrative support for department leadership and faculty
- Manage calendars, coordinate meetings, and prepare meeting materials
- Record and distribute meeting notes when needed
- Serve as a primary contact for phone calls, emails, and office visitors
- Assist with planning and logistics for department events and student-facing programs
- Prepare and process administrative documentation, including forms and expense-related materials
- Support internal communications using Microsoft Office tools and collaboration platforms
- Help maintain shared drives, communication channels, and department records
- Collaborate with other departments and external partners as needed
- Provide support to students and faculty with requests related to facilities, coursework logistics, and department initiatives
- Assist with oversight and task delegation for student workers
- Complete special projects and additional duties as assigned
- 2–3+ years of administrative support experience
- Prior experience in higher education or academic settings is a plus
- Strong organizational skills with the ability to manage multiple priorities
- Professional, approachable demeanor when interacting with students, faculty, and staff
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
- Comfortable learning internal systems and tools
- Experience with event coordination strongly preferred
- Graphic design or social media experience is a plus
- Temporary assignment for 3+ months
- Candidates must be comfortable working between two nearby downtown locations
