Executive Assistant to the CEO(s) – Entry Level
Department: Administration
Reports To: Chief Executive Officer(s)
Location: In-Office/Hybrid
FLSA Status: Exempt
Position SummaryThe Executive Assistant provides administrative and coordination support to the CEO(s) and executive leadership team in a fast-growing urgent care organization. This is an excellent opportunity for someone early in their career to gain exposure to executive operations, healthcare leadership, and multi-clinic coordination.
This role focuses on organization, scheduling, communication, and helping keep leadership priorities on track. The ideal candidate is detail-oriented, dependable, professional, and eager to learn.
Administrative Support- Assist with managing executive calendars, scheduling meetings, and coordinating appointments
- Help organize daily priorities and ensure meetings are prepared in advance
- Draft basic emails, memos, and internal communications
- Organize and maintain digital files, documents, and reports
- Schedule leadership meetings and send calendar invites
- Prepare meeting materials and assist with note-taking when needed
- Help track follow-ups and action items from leadership meetings
- Help coordinate travel arrangements, clinic visits, and leadership events
- Support communication between executive leadership and departments (HR, Operations, Clinics, Finance)
- Assist with special projects and administrative tasks as assigned
- Answer and route incoming communications professionally
- Help prioritize requests and ensure timely responses
- Provide general administrative support to keep day-to-day operations running smoothly
- Associate’s or Bachelor’s degree preferred (Business, Healthcare Admin, Communications, or related field)
- 0–3 years of administrative, coordinator, or office support experience
- Internship or healthcare experience is a plus but not required
- Strong organization and time-management skills
- Professional communication skills (written and verbal)
- Comfortable using Microsoft Office/Google Workspace
- Ability to handle multiple tasks and shifting priorities
