Our client, a dynamic and growth-oriented organization, is seeking a highly polished Executive Assistant to provide dedicated support to a C-level executive. This role serves as a strategic partner and trusted gatekeeper, managing complex calendaring, high-level communications, confidential information, and cross-functional coordination. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment, ensuring seamless executive operations and enabling leadership to focus on key business priorities.
Responsibilities- Manage Outlook contacts and calendars; schedule and confirm meetings, coordinate communication, answer phones, and manage all delivery services
- Handle all travel logistics, including itineraries and accommodations.
- Plan and organize meetings; ensure presentation materials are prepared and updated.
- Draft and prepare correspondence and documents as needed.
- Prepare and maintain recurring and ad hoc meeting agendas.
- Review and proofread documents and presentations to ensure accuracy and professionalism.
- Maintain and organize legal files and contracts.
- Coordinate with internal legal team and outside counsel on legal billing matters and other correspondence.
- Timely process expense reports.
- Collaborate with the team on day-to-day office activities and special projects as assigned.
- Maintain a polite and professional demeanor with clients, vendors, and internal stakeholders.
- Bachelor’s degree or equivalent experience; experience in the legal industry is strongly preferred.
- 5+ years of experience providing executive-level administrative support, including handling confidential information.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with iManage is a plus
- Ability to thrive in a fast-paced, entrepreneurial environment.
