This position will work onsite at least 3 days per week.
The Senior Specialist - Client Services (Senior Executive Legal Assistant) provides point-of-contact executive administrative support to high-revenue-generating attorneys, ensuring seamless daily operations and enabling attorneys to focus on client service and business development. This role manages multiple projects and priorities, delegates duties to other teams, and shares overflow responsibility and support with the team as capacity allows. The role requires effective communication with clients, visitors, staff, and timekeepers, and strong attention to detail, grammar, proofreading, and organizational skills.
Responsibilities- Coordinates all workflow for assigned attorneys, delegating tasks to other teams, including follow-up and quality control.
- Coordinate client communications, manage sensitive information, and serve as a liaison between attorneys, clients, and internal departments.
- Proactively anticipate the needs of attorneys, manage priorities, and resolve administrative challenges with minimal supervision.
- Support business development initiatives, including coordinating events, preparing pitch materials, and maintaining client databases.
- Calendar and schedule management: assists in coordinating attorneys’ calendars and meeting arrangements; makes travel arrangements and prepares itineraries.
- Project management: coordinate and track ongoing projects, ensure deadlines and deliverables are met; monitor milestones, update status reports, and communicate progress to attorneys and stakeholders; assist with project plans, timelines, and resource allocation.
- E-mail management: manage attorneys’ inboxes, prioritize urgent communications, draft, review, and respond to emails on behalf of attorneys as directed; organize and archive email correspondence.
- Document management: prepare, edit, format, and proofread legal documents, correspondence, and presentations; manage version control, file organization, and secure storage; facilitate execution, filing, and distribution of documents.
- Process new client/matter intake: prepare and process new matter forms, request conflict checks, and open new files.
- Coordinate accounting administrative functions: client billing, prepare billing letters, assist with tracking matter budgets and alternative fee arrangements, and support automation efforts.
- Collaborate in a team environment; participate in regular team meetings; share information and training tips with teammates for maximum effectiveness.
- Utilize workflow management software to log and manage tasks.
- Handle special projects and other duties as assigned to support the attorneys’ practices.

- Bachelor's degree with related coursework or commensurate professional experience.
- 5+ years of relevant experience providing comprehensive support to organizational leadership, preferably in a professional services environment.
- 3+ years of relevant legal assistance experience.
- Advanced proficiency in Microsoft Office Suite.
- Ability to handle confidential information at the highest level.
- Minimum typing speed of 60 wpm; transcription experience preferred.
- State of Illinois: $63,000 - $122,000
- State of Minnesota: $70,000 - $115,000
The salary range does not include a discretionary bonus. Bonus opportunities are non-guaranteed and based on individual and firm performance.
