POSITION DESCRIPTION

The Human Resource Clerk reports to the Director of Human Resources and performs clerical tasks to support effective and efficient operations of Instituto’s human resource department.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides clerical support to the HR department.
  • Assists with new hire orientation.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, and holiday parties.
  • Assist the reception area when needed.
  • Track volunteers and make sure required documentation is submitted.
  • Performs other duties as assigned.
QUALIFICATIONS
  • High school diploma required, some college coursework in Human Resources preferred
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
  • Able to work well in a fast-paced environment
  • Ability to work both in teams and independently with minimal supervision, as well as take on and manage several tasks at once
  • Strong telephone skills and ability to maintain composure under pressure
  • Ability to adhere to deadlines, react to unpredictable events quickly and efficiently, be resourceful, manage conflict and challenges

PHYSICAL DEMANDS

Nature of work requires an ability to operate standard business office equipment. Requires ability to communicate and exchange information, collect, compile and prepare work documents, as well as set-up and maintain work files. Position involves lifting, pushing, bending, and reaching.

WORKING CONDITIONS

Majority of work performed in a general office environment. Position requires availability for extended hours plus non-traditional hours may be required to perform job duties. Also requires participation and attendance at organization sponsored events and meetings.
