Position: Executive Assistant (Hybrid)

A leading investment firm in Chicago is looking for a proactive Executive Assistant to join their dynamic team. This hybrid role (3 days on-site) offers a highly competitive compensation package (salary of up to $95K + bonus + paid overtime), and the chance to work closely with senior leadership in a fast-paced, high-impact environment. This is more than just an administrative role—it’s a highly visible position where you’ll play a key part in keeping operations running seamlessly at the executive level.

Responsibilities of the Executive Assistant:
  • Provide high-level administrative support to senior leaders, including calendar management, meeting coordination, and expense reporting
  • Coordinate complex domestic and international travel arrangements, including itineraries, accommodations, visas, and logistics
  • Serve as a key point of contact for internal and external stakeholders, maintaining a high level of professionalism
  • Manage and prioritize multiple requests in a fast-paced environment while maintaining strong attention to detail
  • Prepare reports, presentations, and meeting materials as needed
  • Support team-wide initiatives and collaborate cross-functionally to ensure smooth day-to-day operations
Qualifications of the Executive Assistant:
  • 5–7 years of administrative experience supporting senior leadership, ideally within a professional services or financial environment
  • Experience supporting investor relations (IR) activities is strongly preferred
  • Proficiency in coordinating complex travel arrangements and managing detailed itineraries required
  • Strong organizational skills with exceptional attention to detail
  • Ability to multitask, prioritize effectively, and meet deadlines in a fast-paced setting
  • Team-oriented mindset with a proactive and collaborative approach
  • Excellent communication skills, both written and verbal
