Member Services Coordinator (Temporary-to-Hire) | Southwest Chicago suburbs

* Initial schedule: in-office 5 days a week. After the training period: 3 days in-office, 2 days remote.

A non-profit organization with over 60 years of experience based in the southwest suburbs of Chicago, is seeking a Member Services Coordinator to join their team. They provide services including health and retirement plans, risk and insurance management, and consulting for faith-based organizations.

The Member Services Coordinator will ensure timely payment for services and coverages provided, assist members with inquiries related to receivables and other divisional matters, and manage annual divisional projects and mailers, including SAP annual enrollment. This role is also responsible for completing monthly reports, forms, and documents as requested by the division.

Responsibilities:

Accounts Receivable & Customer Service
Review aging reports and identify accounts 15+ days past due
Send pre-cancellation notices via email and mail
Document all communication and updates in the receivables spreadsheet
Address member questions on overdue payments and update records
Contact members regarding unpaid endorsements or credits
Post monthly invoices and statements
Provide senior management with monthly aging reports

Project Coordination
Support senior account staff by compiling documents, forms, and data for projects and mailers
Join project meetings and suggest improvements
Ensure accurate, timely completion of projects and mailers
Manage schedules and coordinate team support
Perform mail merges and distribute project materials
Scan, file, and maintain electronic project records
Create/edit divisional forms, documents, and queries as needed

Membership Support
Manage SAP annual enrollment, including updating rates and forms
Verify registration accuracy, student counts, and payment details
Follow up on held payments or incomplete registrations
Prepare and send required documents within 3 days, maintaining 97% accuracy
Work with finance to ensure monthly data alignment
Maintain SAP spreadsheets, checklists, and filing requirements
Answer incoming calls and assist with member questions or routing
Perform other administrative and customer service tasks, including web registrations, reports, and general inquiries

Requirements:
Previous experience in accounts receivable, project coordination, or administrative support preferred
Strong aptitude for mathematics and attention to detail
Proficient in Microsoft Word, Excel, PowerPoint, Mail Merge, and Adobe Acrobat
Experience in property/casualty insurance is a plus, but not required
Excellent written and verbal communication skills
Ability to assess and resolve situations in a manner that benefits both the customer and the organization

Hourly pay rate between $20/hr to $25/hr
