POSITION DESCRIPTION
The Receptionist will be responsible for welcoming clients, students, and staff into the building and ensuring they are directed to the proper department. The Receptionist provides a high-level customer service. Duties also include answering incoming calls, directing calls to appropriate staff, mail distribution, and other additional clerical duties. The Receptionist is the first point of contact for any new client or enrolling students and is responsible for providing information about programming.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Welcomes clients, student and employees by greeting them.
- Professionally administer and screen all incoming calls.
- Assist in maintaining security by following employee/client check-in procedures.
- Maintains safe and clean reception area by complying with policies and procedures.
- Respond to general inquiries related to the organization.
- Perform clerical duties to include but not limited to: photocopying, faxing, mailing and filing, and date stamp all general correspondence.
- Sign for and notify recipient when UPS/Fed Ex/Courier mail packages are received.
- Represent all of Instituto programming and schools, announce visitors, direct clients and walk-ins to appropriate program.
- Follow all safety protocols.
- Sort and distribute incoming mail.
- Review incoming general emails, respond to inquiry or forward to appropriate team member when necessary.
- Review general voicemails and respond or forward to appropriate Instituto team member.
- Ensure building closure notices are posted in advance.
- Support the onboarding and training of new hires, including allowing and supporting job shadowing as needed.
- Make sure phone directory is up to date.
- Assist with phone call answering messages as needed (holidays, closings, etc).
- Other duties as assigned.
- High School Diploma or equivalent
- 1 year experience in administration
- Ability to maintain a high sense of confidentiality
- Able to work with a wide variety of people
- Team player and willing to take on multiple tasks at once and independent worker, requires minimal supervision
- Exceptional organization and time management skills
- Excellent oral and written communication skills, bilingual English/Spanish preferred
- Ability to maintain composure under pressure
- Flexible, dependable and punctual
- Strong project management skills and attention to detail
- Advanced skills with Microsoft Office, Word, Excel, PowerPoint, and the Internet
- Basic understanding of office equipment
Nature of work requires an ability to operate standard business office equipment. Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files.
WORKING CONDITIONSMajority of work performed in a general office environment. Position requires availability for extended hours plus non-traditional hours required to perform job duties. Also requires participation and attendance at organization sponsored events and meetings.
