Position SummaryThe Workplace Experience Coordinator is the onsite leader of a hospitality-driven, client-ready environment, ensuring that every interaction, from arrival to departure, is seamless, polished, and white-glove. This role orchestrates front-of-house services, meeting support, and day-to-day operations to consistently deliver an elevated workplace experience.
Key Responsibilities- Reception & Client
Experience:
Support on-site reception specialist to always maintain front desk coverage and serve as the escalation point for reception services - Reception & Client

Provide guidance and daily support to reception and hospitality team members - Reception & Client
Experience:
Greet and direct guests, ensuring a professional and welcoming first impression - Reception & Client
Experience:
Answer and route incoming calls and respond to general inquiries - Reception & Client
Experience:
Manage visitor check‑in, office access, and badge coordination in accordance with site procedures - Reception & Client
Experience:
Coordinate office seating and hoteling requests as applicable - Reception & Client

Schedule and manage conference room bookings and respond to meeting room requests - Hospitality & Meeting Support:
Manage meeting room readiness and shared space presentation - Hospitality & Meeting Support:
Coordinate catering and hospitality services for meetings and events - Hospitality & Meeting Support:
Maintain conference rooms, pantries, and common areas in a clean, client-ready condition - Hospitality & Meeting Support:
Provide escalation support for complex or high-profile meetings - Hospitality & Meeting Support:
Provide backup support for hospitality services during peak periods or when coverage is needed - Workplace Coordination & Operations Support:
Support day-to-day coordination between front-of-house, hospitality, and office services teams - Workplace Coordination & Operations Support:
Assist with office moves, seating updates, or workspace adjustments as needed - Workplace Coordination & Operations Support:
Assist with coordination of mail, courier, or internal deliveries as needed - Workplace Coordination & Operations Support:
Support basic inventory tracking for workplace supplies and shared resources - Workplace Coordination & Operations Support:
Provide coverage or support for general office services during peak periods or coverage gaps - Security & Access Support:
Assist with visitor access processes and badge coordination - Security & Access Support:
Support onboarding and offboarding access requests in partnership with building management or security teams - Security & Access Support:
Monitor visitor flow and escalate any access or security concerns - Security & Access Support:
Ensure adherence to office security protocols - Security & Access Support:
Report any observed security issues in accordance with site procedures
- High school diploma or equivalent required
- Minimum of two (2) years of experience in reception, workplace coordination, hospitality, or office services within a corporate or professional services environment
- Strong customer service and professional communication skills
- Comfortable interacting with internal stakeholders and external vendors
- Ability to work independently and manage competing priorities
- Strong organizational skills with attention to detail
- Proficiency with Microsoft Office; familiarity with room booking or visitor systems preferred
The range of pay for this role at the noted RRD location is $26 - $28/ hour. Typically, roles follow step progressions to a target rate or set increments over time. Depending on the role, in addition to the hourly rate of pay, the total compensation package may also include overtime, shift differential, call-in, and/or stand-by pay. Shift: Monday through Friday, 9:30am to 6:30pm
