Office Administrator/ Coordinator
What You’ll Do
- Serve as the first point of contact, greeting guests and personnel with professionalism and hospitality while ensuring a smooth arrival experience.
- Manage conference room reservations using booking software, capturing all details including audio/visual (A/V), catering, technology, and room setup needs.
- Act as a liaison between requesters and food service teams to coordinate orders, delivery timing, and billing while educating users on available options.
- Monitor shared inboxes, respond promptly to inquiries, and handle general office correspondence and clerical tasks.
- Arrange temporary identification () badges, coordinate building security access, and support visiting attorneys and staff with on‑site needs.
- Assist with light administrative tasks such as printing, copying, and document handling for conference center visitors.
- Submit maintenance requests and ensure conference center spaces are properly supported and operational.
- Build strong relationships with internal departments and service partners to ensure seamless service delivery.
- Balance multiple tasks, shifting priorities as needed to meet deadlines and deliver consistent service excellence.
- Bachelor’s degree preferred, or equivalent combination of education and experience.
- 2–4 years of experience in guest services, hospitality, conference center operations, or a client‑facing support environment.
- Ability to convey information clearly, concisely, and professionally in both verbal and written interactions.
- Strong commitment to understanding needs and delivering responsive, high‑quality service.
- Proven ability to manage tasks independently, prioritize effectively, and follow through on commitments.
- Collaborative approach with the ability to establish and maintain strong working relationships across teams.
- Comfort working in a fast‑paced environment with changing priorities and evolving business needs.
- High level of accuracy when coordinating logistics, managing requests, and maintaining records.
The base salary range below represents the low and high end of the salary range for this position in Chicago. Chicago: $51,000 - $63,000
