An interior design firm in Chicago is looking for a Design Operations Associate! This is a part-time position, requiring 24-hours each week. The schedule will be 6-hours each day, Monday through Thursday (in-office). Responsibilities
- Answer and screen all calls
- Greet clients and guests
- Manage daily office calendar
- Assist with preparation for meetings - set up conference rooms including presentation materials, catering, technology
- Review and process incoming mail/deliveries/materials and distribute to correct recipients
- Order, stock and track all office supplies
- Input and categorize all operations expenses in Quick Books, maintaining all required documentation, receipts, dates of service, and proof of service completion
- Partnership with Financial Administrator on monthly closeout and financial audits
- General office tasks as needed from staff
- Keep the office organized, tidy and stocked daily
- Liaise with product vendors for presentations and library updates with studio team
- Prepare Principal for calls/meetings by giving correct phone numbers, times, addresses
- Prepare transportation for Principal and/or design team to client meetings, site visits, etc., inclusive of retrieving vehicle and contacting transportation companies
- Assist operations team with onboarding of new employees
- 2-3+ years of experience in operations within a design firm
- Ability to pivot with changing project requirements and designs
- Willingness to listen and learn from all team members
- Communicates effectively via email and ensures timely responses
This is a Contract to Hire position based out of Chicago, IL.
Pay And BenefitsThe pay range for this position is $31.25 - $32.45/hr.
