Are you a detail-driven professional who thrives on organization, variety, and making things run smoothly? Amata Management is seeking a motivated, polished Office Services Assistant to support our growing, diverse client base primarily within the legal industry.
WHAT MAKES THIS ROLE DIFFERENTOur admin team provides fractional support to our clients, meaning you'll work across multiple firms and practice types rather than being tied to a single desk. With four premier downtown Chicago locations (77 W Wacker, 150 S Wacker, 181 W Madison, and 33 N Dearborn), you'll gain exposure to a wide range of professionals and environments, building a breadth of experience that a traditional single-client role simply can't match.

WHATYOU'LL DO
- Draft polished emails and correspondence for clients at all organizational levels
- Manage calendars, coordinate meetings, and proactively handle day-to-day administrative workflows
- Create, edit, format, print, and bind professional documents, spreadsheets, and presentations
- Serve as the point of contact with building management for visitor access and service coordination
- Sort and distribute incoming mail; process outgoing and overnight shipments
- Manage office and café supply inventory with a keen eye for detail and efficiency
- Provide professional reception coverage and serve as a warm, capable first impression for clients
- Flex across multiple client environments - adapting quickly to different firm cultures and needs
- 2-4 years of experience in an administrative, receptionist, or office support role
- Exceptional written, verbal, and interpersonal communication skills
- Sound judgment and discretion - you understand the sensitivity of professional environments
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Professional phone and email etiquette that represents our clients with confidence
- Adaptability:
You thrive in new settings and pick up on workflows quickly - Flexibility to occasionally work overtime when client needs arise
- College degree preferred
