A well‑known, fast‑paced global real estate organization headquartered in Chicago is seeking an experienced Executive Assistant to support the CEO and c‑suite team. This is a high‑visibility role requiring a polished, proactive professional who thrives in a dynamic environment and can manage competing priorities with discretion and precision.
Responsibilities- Provide high‑level support to the CEO and three other c‑level executives, including calendar management, meetings, and travel coordination.
- Manage a complex, ever‑changing schedule while ensuring alignment with executive priorities.
- Anticipate needs and keep leadership prepared through proactive planning and follow‑through.
- Coordinate domestic and international travel, including itineraries and meeting materials.
- Prepare and edit presentations, reports, agendas, and correspondence.
- Plan and execute internal and external meetings and events, including client engagements.
- Handle expense reporting, mail, and document management with accuracy and organization.
- Serve as a key liaison, managing communications and maintaining confidentiality at all times.
- 8+ years of executive‑level administrative support experience, ideally supporting C‑suite leadership.
- Proven ability to thrive in a fast‑paced, high‑visibility environment with shifting priorities.
- Exceptional organizational skills with strong attention to detail and ability to manage multiple priorities.
- Strong written and verbal communication skills with a polished, professional presence.
- Ability to work independently, exercise sound judgment, and maintain confidentiality at all times.
- High level of interpersonal skills with the ability to interact effectively across all levels of an organization.
- Proactive, resourceful, and solutions‑oriented mindset.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience coordinating virtual meetings using Teams, Zoom, or similar platforms.
- Collaborative team player with a positive, can‑do attitude and commitment to excellence.
