Position: Office Manager / Executive Assistant - Onsite Mon-Fri

Overview

Chicago Office Manager / Executive Administrative Assistant will work in close partnership with our CTO. This role requires strong organizational skills, proactive resourcefulness, and creative problem‑solving to support the CTO’s team and the Chicago office.

Responsibilities
  • Serve as the primary point of contact for all matters pertaining to the CTO’s team.
  • Provide office management of the Chicago office.
  • Coordinate Chicago office logistics, including space planning, visitor coordination, supply management, and maintenance requests.
  • Partner with HR, IT, and facilities teams to support employee onboarding, workspace setup, and office‑related initiatives.
  • Expertly manage complex calendars and ensure schedules are followed and respected.
  • Act as gatekeeper and gateway, creating win‑win situations for senior leader access.
  • Prioritize conflicting needs and handle matters expeditiously, proactively, and with follow‑through on projects to successful completion under deadline pressure.
  • Exhibit strong interpersonal and organizational skills, attention to detail, and excellent verbal and written communication.
  • Build rapport to bridge communication between assigned senior leaders and other stakeholders.
  • Complete critical deliverables with a hands‑on approach, creating content for presentations and correspondence using Microsoft Office.
  • Proofread and edit prepared content when necessary.
  • Organize, manage, and submit expense reports using Concur.
  • Coordinate meeting logistics for virtual and on‑site meetings, including technology, presentation preparation, distribution of materials, and catering services.
  • Oversee day‑to‑day operations of the Chicago office, serving as the on‑site contact for facilities, vendors, and building management.
  • Maintain awareness of company initiatives and provide backup coverage for other executive leadership team administrative assistants.
Qualifications
  • Associate’s degree preferred and/or equivalent years of administrative experience.
  • 3+ years as an administrative assistant for a Senior Vice President or C‑Suite executive.
  • Experience as an office manager.
  • Strong communication, leadership, and time‑management skills.
  • Strong organizational skills, managing and prioritizing multiple tasks with attention to detail.
  • Proficient with computers and software (Windows, Microsoft Word, Excel, PowerPoint, ChatGPT, Claude, etc.).
  • Critical thinking, interpersonal, and problem‑solving skills.
  • Ability to juggle multiple projects, priorities, and re‑prioritize as required.
  • High level of customer service aptitude.
  • High level of motivation, self‑starter, and ability to quickly identify tasks that need completion.
  • Excellent communication and problem‑solving abilities.
  • Willingness to roll up sleeves and interact with employees at all levels.
  • Well organized, detail‑oriented, and good follow‑up skills.
  • Proficient in Word, Excel, Outlook, Gmail.
  • Experience managing a physical office location preferred.
