Workplace Coordinator – JLL
What this job involves:
As a Workplace Coordinator at JLL, you will deliver comprehensive facilities management services while creating exceptional workplace experiences that enhance employee productivity, satisfaction, and engagement. This dynamic role positions you as a key operational partner who combines technical facility management expertise with hospitality‑driven service excellence. You will execute day‑to‑day operations including maintenance scheduling, vendor coordination, space management, and employee experience initiatives while serving as the primary liaison between facility teams, employees, and service providers.
- Serve as primary Planner/Scheduler for all maintenance activities, creating and managing work orders in CMMS platforms (Corrigo preferred) while coordinating schedules around employee events and high‑traffic periods to minimize disruption.
- Oversee vendor and contractor relationships by issuing purchase orders, leading monthly performance discussions, and maintaining service provider matrices for operational and hospitality services.
- Monitor SLAs, KPIs, and employee satisfaction metrics monthly to identify improvement opportunities and implement corrective actions.
- Provide “White Glove” service to executives and VIP visitors including meet/greet coordination, escort assistance, and prompt follow‑up while ensuring all team members embody hospitality best practices and professional courtesy.
- Manage operating budget allocations including employee experience programs, amenity services, and facility maintenance while processing accounts payable and receivable related to operations.
- Coordinate workplace amenities, conference room bookings, space reservations, and meeting technology support to enhance collaboration and support hybrid work models.
- Support employee onboarding experiences, workplace orientations, space planning initiatives, and special events while maintaining comprehensive documentation for compliance and quality assurance.
- Minimum 2 years of facility management, property administration, or workplace services experience with demonstrated customer service excellence.
- Strong understanding of workplace culture development, employee engagement metrics, and satisfaction measurement tools.
- Proficiency with CMMS platforms (Corrigo preferred), Microsoft Office Suite (advanced Excel for reporting), TEAMS, and mobile applications for work order management.
- Exceptional organizational and management skills with proven ability to multi‑task, prioritize competing responsibilities, and work independently without constant supervision.
- Outstanding written and verbal communication skills with demonstrated ability to build positive relationships with diverse stakeholders including employees, vendors, and executive leadership.
- Basic knowledge of building systems and technical skills including mechanical and electrical systems, safety regulations, and compliance requirements.

- Bachelor's degree in Facility Management, Property Management, Hospitality Management, Business Administration, or related field.
- Certification in Facilities Management (CFM), Facility Management Professional (FMP), or related professional credentials.
- Experience with event planning, employee program coordination, hospitality service delivery, or workplace technology platforms and space management software.
- Previous vendor management experience for hospitality or employee service providers in corporate environments.
- Crisis communication protocol implementation experience for workplace emergencies or service disruptions.
- Knowledge of sustainability practices, workplace wellness initiatives, and space planning methodologies that prioritize employee collaboration and diverse work styles.
- Project coordination experience including budget tracking, timeline management, and cross‑functional team collaboration.

Estimated compensation for this position: 49,500.00 – 61,000.00 USD per year
