Regional Office Assistant

The hourly rate for this position is between $17.85 - $22.30.

Position Summary

Provides regional administrative support to the regional administrator and regional director, handling office support, donor relationships, expense management, personnel assistance, event planning, and regional data management.

Essential Duties
  • Provide general office support, including correspondence, filing, and mailing.
  • Answer phones, respond to voicemail, email, and phone calls in a timely and professional manner.
  • Send thank‑you letters to donors and interact with all area and regional staff, volunteers, committees, and management teams.
  • Assist with administration processes, track donations, maintain donor and leader databases, ensuring area leader forms, driver questionnaires, and background checks are up‑to‑date.
  • Manage monthly purchase card expenses, field development tool (FDT), and regional and staff expense reports.
  • Provide personnel support for regional staff, including Human Resources and personnel action requests (PARs).
  • Coordinate regional fundraising events and other regional events.
  • Assist with annual camping administration.
  • Assist regional administrator and regional director with workload, maintaining, organizing, and facilitating monthly deadlines, including camp and work crew allocation, annual budgets, and compensation.
  • Provide staff care, including birthdays, monthly reports, and assignment care packages.
  • Assist with gathering regional statistics electronically via the Growth Planning Software (GPS) system.
  • Facilitate paperwork to open and close area ministries across the region.
  • Manage and execute area transfers and Mission Security application for staff within region.
  • Update MSite and provide administrative support for volunteer‑led areas and areas in a staffing transition.
  • Assist with additional work from regional staff.
  • Assist in event planning, coordinating and facilitating regional events including regional staff training days, committee chair days, regional meetings, regional camps, leadership weekends, and education.
Education
  • High school education or equivalent.
  • Associate’s degree preferred.
  • Ongoing education encouraged.
Qualifications
  • Previous administrative assistant experience preferred.
  • Typing speed of 55 to 60 words per minute with few errors.
  • Proven data entry speed and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills; good grammar.
  • Ability to maintain confidentiality.
  • Basic accounting skills.
  • Detail‑oriented, ability to multi‑task successfully.
  • Proven relational skills with both kids and adults.
