Schedule:
Monday – Friday, 9:00 AM – 5:00 PM (Flexibility required)

Position Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support within a fast-paced corporate environment. This role is ideal for candidates with strong customer service, administrative, coordination, or office support experience who thrive in a high-volume, deadline-driven setting.

The successful candidate will support multiple professionals and work closely with a team of administrative staff to ensure efficient day-to-day operations. Full training and ongoing support will be provided.

Key Responsibilities
  • Coordinate and schedule meetings, conference calls, and virtual meetings across multiple time zones
  • Manage calendars and assist with scheduling priorities
  • Handle a high volume of emails and phone calls while ensuring timely and accurate communication
  • Arrange conference rooms and meeting logistics for internal and external meetings
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visa documentation when required
  • Process expense reports and invoices accurately and in a timely manner
  • Assist with administrative requests and ad hoc projects as needed
  • Support team members with day-to-day operational needs and inquiries
  • Provide coverage for colleagues during absences and vacations
  • Maintain confidentiality while handling sensitive business information
Required Qualifications
  • Administrative, office support, customer service, coordinator, receptionist, or related experience
  • Strong proficiency with Microsoft Outlook, Word, and Excel
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • Ability to manage multiple priorities in a fast-paced environment
  • High attention to detail and accuracy
  • Ability to work independently while also collaborating effectively within a team
  • Professional demeanor and strong interpersonal skills
  • Ability to exercise sound judgment and maintain confidentiality
Preferred Qualifications
  • Experience supporting multiple stakeholders simultaneously
  • Experience working in a corporate or professional services environment
  • Experience coordinating calendars, meetings, travel, or expenses
  • Experience working in a remote or hybrid support environment
