Clerical, Office Administrator/ Coordinator
Responsibilities
Under the general direction of the school principal, performs specialized clerical functions in a large public school facility or a variety of clerical functions in a small public school facility. Performs related duties as required.
Prepares and types a variety of original correspondence, memorandums, and reports using a personal computer or typewriter. Opens, sorts, and distributes incoming mail. Serves as a receptionist and greets visitors. Schedules appointments, receives phone calls, responds to inquiries from students, parents, guardians, and the general public. Maintains attendance records, processes payrolls manually and with computer equipment, maintains enrollment records, processes student transfers, maintains student history records.
Prepares requisitions for supplies, instructional materials, furniture, equipment. Maintains and monitors the school's petty cash and internal account ledgers. Issues checks and prepares money for deposits. Receives and compiles periodic reports on payrolls, pupil attendance, enrollment, funds, and ledgers. Forwards student transcripts. May transcribe dictation. Operates personal computers with spreadsheet, database, or other software applications.
Training and
Experience:
Graduation from high school (or GED) supplemented by one year of clerical work experience, and the ability to type 45 words per minute with fewer than 10 errors, or an equivalent combination.
Knowledge, Abilities, and
Skills:
General knowledge of modern clerical office methods, practices, and procedures; knowledge of common office machines and equipment; ability to apply clerical methods, follow oral and written instructions; proficiency in typing; effective communication with staff, students, parents, guardians, and the public; computer skills in word processing, spreadsheets, and database software desirable. Good oral/written communication, basic mathematics, interpersonal skills, and recordkeeping.
Sedentary work: may lift up to ten pounds occasionally; may walk or stand briefly; sitting most of the time.
