Position OverviewDepartmental Assistant – Academic Advising Center. Work located on Main Campus. Under general supervision, performs varied clerical and typing duties in the Academic Advising Center, supporting student success and lifelong learning.
Responsibilities- Read and route incoming mail, preparing outgoing mail and monitoring departmental email.
- Types letters, memoranda, records from copy or rough draft following standard procedures, some of which may be confidential.
- Composes, types, and sends emails, letters, and correspondence without supervision.
- May assist in compiling periodic reports or other departmental material on the basis of general instruction.
- Answers telephone and assists callers or routes calls to appropriate officials or departments, placing outgoing calls without supervision.
- Greets visitors, ascertains nature of business, and refers them to the appropriate person or department.
- Assists with scheduling appointments for supervisors and staff.
- Assists, corresponds, and interacts with students, serving as a liaison between students, parents, faculty, staff, and the department; refers them to appropriate resources on and off campus.
- Records minutes of staff meetings.
- Maintains the department’s database.
- May represent the department at campus events to connect students with department resources.
- Performs related duties as assigned.
- High school diploma or GED with some specialized training (educational or vocational).
- Minimum of one year clerk‑typist or secretarial experience in a general office environment.
- Ability to read and comprehend instructions, short correspondence, and memos.
- Effective interpersonal skills.
- Ability to work independently and exercise good judgment.
- Typing speed of 30 words per minute.
- Proficiency in computer use and Microsoft Office.
- Ability to learn and use various department‑specific software programs.
- Good organizational skills.
Full Time. General
Hours:
Monday‑Friday, 8:00 a.m. – 4:30 p.m. Hours may vary during certain times of the year.
Salary: $15.97 – $16.30 per hour (plus exceptional benefits).
