About the roleThe Administrative Assistant I provides general administrative business support and supports the Executive Assistant to the CEO/CFO, if applicable. The incumbent schedules appointments, handles phone calls, and performs a range of clerical duties described below.
- Answer and route phone calls to appropriate parties.
- Schedule and coordinate meetings and appointments.
- Prepare and distribute correspondence, memos, and reports.
- Maintain electronic and physical filing systems.
- Process incoming and outgoing mail and packages.
- Coordinate travel arrangements.
- Manage inventory and office supplies.
- Perform general administrative duties.
- Read and route incoming mail, locating and attaching appropriate files to correspondence.
- Answer and screen telephone calls; arrange conference calls.
- Coordinate manager schedules and make appointments.
- Welcome scheduled visitors and direct them to appropriate area or person.
- Conduct research and compile statistical reports.
- Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, record and transcribe minutes.
- Make copies of correspondence or other printed materials.
- High school diploma or general education degree (GED) required.
- Minimum of 2 years of related work experience, or equivalent combination of education and experience.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational, time‑management, and multi‑tasking skills.
- Ability to prioritize tasks and work independently.
- Ability to read, analyze, and interpret general business or professional journals, technical procedures, or regulations.
- Ability to write reports and/or business correspondence.
- Ability to effectively present information and respond to questions from groups of managers, customers, and other employees.
