The Executive Administrative Assistant will support the Market CEO and senior team members. This is a fast paced, creative working environment that requires the ability to multitask with attention to detail and excellent organizational skills. The Executive Administrative Assistant will be responsible for calendar management, expense report management, scheduling and arranging travel, setting up presentations, planning meetings and events, greeting visitors, preparing project / progress reports and various other tasks.
If you are located in the Chicago, Illinois area, you will have the flexibility to work remotely 1-2 days a week*, as well as work in the office as you take on some tough challenges.
Primary Responsibilities- Provide primary support to the CEO and other senior leaders with schedule, coordinate and manage meetings, expenses & travel
- Maintain and communicate sensitive or confidential information in accordance with internal policies and procedures for the office of the CEO
- Manage active calendars, resolve scheduling conflicts as they arise, prioritize to ensure effective time management for the CEO and other executives
- Receive notary license for the office of the CEO
- Create, prepare, and distribute all meeting materials
- Maintain charitable/community relations and promotional items budget and sponsor ships
- Ensure all resources and technology is set up and working for all meetings
- Make travel arrangements for the CEO and executives
- Help plan and coordinate Broker meetings and external events as needed
- Organize logistics of large or offsite events, using internal resources as needed
- Compile and integrate information needed to complete reports and documents
- Prepare or format office documentation needed for various audiences
- Post relevant documentation onto relevant systems and communication boards
- Maintain and distribute broker email and address mailing lists as needed
- Utilize Microsoft 365 software and other applications
- Monitor and oversee internal office communications
- Act as a liaison and work with building management and UHG facilities manager to maintain awareness of potential issues and or repairs needed within the office environment and coordinate maintenance and repair
- Perform BSL (Business Segment Liaison) to perform onboarding new employees, ordering hardware, & software, change seat assignment on floor plan and other BSL duties
- Maintain and keep updated office and CEO distribution lists
- Greet guests for CEO and other executives
- Consult and communicate with internal and external customers to identify and provide resources
- Research and provide needed information to respond to requests in a timely matter
- Set a positive and fun work environment
- Other duties as assigned

Required Qualifications- 5+ years of experience working as an Executive Assistant supporting C Suite Executives in a highly matrixed environment (Fortune 500 company preferred)
- Experience coordinating office moves including hardware and software requisitions, travel arrangements, new hire onboarding and other office management responsibilities
- Experience working independently and under pressure at times to handle a wide variety of activities and confidential matters with discretion
- SharePoint experience
- Proficient in MS Office Suite (Outlook, Teams, Word, Excel and PowerPoint)
- Proven exceptional attention to detail
- Proven high degree of personal integrity and strong interpersonal skills
- Proven willing and able to obtain notary designation
- Reside within reasonable commuting distance to downtown Chicago, IL
