POSITION SUMMARY

The Chicago School is seeking a Part Time Campus Operations Coordinator to assist with predominantly evening and weekend coverage. The Campus Operations Coordinator plays an essential role in supporting day‑to‑day operations and events on the Los Angeles campus. Reporting to the Campus Manager, the Coordinator performs and coordinates tasks and activities to facilitate the optimal functioning of facilities, systems, and processes for faculty, staff, and students.

The part‑time role will work between 20–25 hours per week.

PRINCIPAL DUTIES
  • Provide general administrative assistance to campus operations leadership.
  • Support the management of the campus operations inbox and respond to student, faculty, and staff requests related to campus operations.
  • Perform daily opening and closing routines, including verifying building readiness, safety systems, space condition, and ensuring all areas are secured after hours.
  • Support scheduling and information management related to facilities usage and campus events.
  • Manage incoming and outgoing deliveries, mail, and shipments; ensure proper sorting, documentation, and timely distribution of packages to campus departments and personnel.
  • Support the reception desk as needed.
  • Create and update  for faculty, staff, and students.
  • Support on‑site vendors and contractors by coordinating access, escorting when required, and ensuring work is completed according to campus standards.
  • Provide frontline, solutions‑oriented customer service to students, faculty, staff, and visitors, responding promptly to requests and escalating issues appropriately.
  • Collaborate with Campus Operations leadership, IT, Academic Departments, Student Services, and other campus partners to support daily operations and ensure coordinated service delivery.
  • Maintain a consistent presence throughout the campus to monitor activity, identify operational issues, and ensure a clean, safe, and welcoming environment.
  • Document and communicate campus conditions, incidents, recurring issues, and observed trends to Campus Operations leadership in a timely and accurate manner to support risk mitigation and continuous improvement.
  • Provide logistical and on‑site operational support for academic residencies, working in coordination with Campus Operations leadership and campus partners.
  • Support the onboarding and training of student workers and new hires on campus operational processes.
  • Support office moves, furniture reconfigurations, and classroom setups.
  • Provide support for on‑campus events, including room reservations, setup, and takedown.
  • Monitor and replenish inventory for classrooms, offices, kitchens, and common spaces; ensure supplies are organized, available, and restocked in a timely manner.
  • Perform minor maintenance tasks and routine inspections to identify facility repair needs.
  • Submit, track, and follow up on work orders for maintenance, custodial, and facilities needs, verifying completion and communicating updates to Campus Operations leadership.
  • Be trained on emergency operations policies and procedures and be able to execute response plans on behalf of campus operations leadership if needed.
  • Assist in implementing emergency procedures, including building evacuations, safety drills, and maintaining first‑aid kits and emergency supply stations.
BASIC QUALIFICATIONS
  • High school diploma or GED.
  • 1+ years of administrative experience in an office environment.
  • Proficiency with Microsoft Office suite and database management software.
  • Valid U.S. Driver’s License.
  • Availability to work evening and weekend hours.
  • Ability to lift, push, and pull approximately 50 pounds.
PREFERRED QUALIFICATIONS
  • Associate's or Bachelor's degree.
  • Experience in facility coordination or event planning.
  • Strong organizational and time‑management abilities.
  • Excellent written and verbal communication skills.
  • Ability to multi‑task and manage competing priorities.
COMPENSATION AND BENEFITS

This opportunity is budgeted at $23.64 - $25.64 per hour base compensation. Additional factors may impact total compensation.
