Position Overview
Under the direction of the Senior Public Service Administrator (Manager of Operations), performs a variety of complex office support functions: serves as the front‑desk receptionist for the Department's Chicago office; provides non‑technical information and assistance in person and by phone; translates documents, procedures, and other information into Spanish; receives, stamps, sorts, and distributes mail; operates common office machinery; maintains records; completes a variety of work assignments for supervisor.
Responsibilities- Serve as the front‑desk receptionist for the Chicago office.
- Translate documents and agency information into Spanish.
- Receive, stamp, sort, and distribute mail.
- Operate office machinery (copiers, scanners, multi‑line phone system).
- Maintain records and filing systems.
- Provide non‑technical support to visitors and staff.
- Perform other duties as reasonably required.
- High school diploma or equivalent.
- Two years of office experience.
- Colloquial ability to speak and write in Spanish.
- At least one year of experience applying standard office practices and procedures, with proficiency in Microsoft Word, Excel, Outlook, and data entry systems.
- Year of experience in written composition with intermediate proficiency for professional communication.
- Experience providing administrative support, including accurate execution of office tasks.
- Skill in operating standard office equipment and performing routine maintenance.
- Experience as a receptionist, handling multi‑line telephones, routing calls, opening and distributing mail.
- Experience organizing and maintaining complex filing systems.
