Purpose of the Job
The Executive Assistant will be responsible for providing a wide-range of executive support to members of our global C‑Suite, including calendar management, executive logistics, global travel, presentation creation, special projects and other executive support. This person will work independently and with a great sense of urgency to ensure that the executive management's needs are supported in a professional and confidential manner.
Key Responsibilities- Provide a high level of collaborative professional support to executives using independent judgment and discretion to ensure optimal work, confidentiality and information flow.
- Coordinate and book travel, both domestica and international.
- Manage and maintain executives' schedules, including coordinating with both internal and external executives and assistants to plan a variety of complex meetings.
- Manage and prioritize multiple projects simultaneously, and address issues in a timely manner.
- Prepare memos, reports, invoices, projects, presentations and other documents as needed.
- Manage logistics, timelines and calendars to ensure the most effective use of the executives' attention and focus, including proactively monitoring schedules to identify and resolve conflicts and inefficiencies.
- Answers phones and direct all incoming and outgoing electronic communication on behalf of the executive management.
- Review and manage mail, executive filing, and provide phone support, as well as update and maintain their contact list.
- Assist with any special projects, workflows or general office duties as needed.
- 5+ years of progressive responsibilities providing executive level administrative support.
- Experience in an entrepreneurial, start-up or PE environment. Experience with high growth companies or businesses in transformation a plus.
- Bachelor's Degree in a related discipline or equivalent work experience.
- Proactive, with the ability to anticipate needs, problem-solve and exercise good judgment to navigate complex situations in scheduling, global travel and calendar management.
- Capable of managing competing priorities, multiple simultaneous projects and display flexibility.
- Demonstrated proficiency across Microsoft applications, such as Microsoft Teams, One Drive, Word, Excel and PowerPoint, with the ability to learn other technologies.
- Excellent verbal and written communication skills, particularly editing and proofreading.
- A keen sense of urgency, adaptability, confidentiality and accountability to strive for excellence in high pressure situations.
- Demonstrated high level of responsiveness in communication with employees of all levels and other external constituents, using all forms of communication.
